# The audit log

> What the audit log records, who can read it, how to narrow it to one kind of record or search it, and what it leaves out.

Who this is for: Anyone with “Audit log” (by default: Administrator, Head Coach, Casual Staff).
Last checked in release 2026.10.23, on 23 October 2026.

The audit log is Sports Club OS's record of who changed what, and when. Each time someone adds, changes, deletes, imports, sends or downloads something that matters, a line is written: the time, who did it, what kind of thing, and a short description. Nobody can change or delete a line from Sports Club OS.

## Who can read it

The Administrator, the Head Coach and Casual Staff can by default. Your club can change this on Roles & permissions. Reading the log changes nothing.

## Read the log

Open Admin > Audit log. The page lists the latest 300 entries, most recent first, in five columns:

- **When**: the date and time.
- **Who**: the email address of the person who did it. Changes Sports Club OS makes by itself, such as an automatic renewal invoice, name what made them.
- **Action**: what was done, such as **create**, **update**, **delete**, **import** or **export**.
- **Record**: the kind of thing changed, such as a member, a booking, an invoice, a user, the settings, a class or a function.
- **Detail**: what changed, in a line.

![The Audit log page: "Who changed what, most recent first (latest 300 entries)", a list to choose the kind of record (Everything) and a Search box, then a table with the columns When, Who, Action, Record and Detail, one line for each change.](https://sportsclubos.net/help/img/admin-audit-1600.webp)
*Shown in release 2026.10.29 · Audit log · as an Administrator.*

To narrow the list, choose a kind of record from the list at the top (it starts at **Everything**), or type in **Search…**. The search looks at who, the action and the detail. When nothing matches, the page says **Nothing to show.** Narrowing the list only changes what you see on the page; it is not saved.

## What it records

Among much else:

- Members and contacts added, changed, deleted or imported, and changes of membership status.
- Bookings, invoices and payments.
- Logins made, roles given or taken away, logins disabled, and every change on Roles & permissions, role by role.
- Changes to the club's settings.
- Messages sent, roster weeks published, and decisions on membership applications.
- Each download of all the club's data, and each download of report figures.

A person's own page on Admin > Users shows up to 25 recent entries by or about that login, under **Recent activity**.

## What it leaves out, on purpose

Some lines say what happened without the words or names behind it, so the log never becomes a second copy of private material:

- Questions asked of the AI Report Assistant: the log says a question was asked, never what it said or what the answer was.
- Help and feedback: what people type and what the assistant answers is not in the log at all. The conversation itself is the record, which the Administrator reads on Admin > Feedback. The log shows only that feedback was saved (and its kind), that a conversation was deleted or cleared, and that the limits changed.
- A tag rule's run says how many people each rule tagged, never who.
- A download of all the club's data says who began it and how many records it held, never what was in it.

## Older entries

The page shows only the latest 300 entries, so older changes do not appear however you search. Older entries are kept. The whole log, from the start, is in the download of all the club's data: see [Download all the club's data](https://sportsclubos.net/help/admin/export/index.md).
