**Roles & permissions** is a table of what each role lets someone do: permissions down the side, grouped by area, and the roles across the top. Each club starts with the same set. An administrator can change it, so each role fits how your club works.

## Before you start

- Changing the table is for the Administrator alone. Someone who manages users but is not an administrator can open the page and read it; it then says **Only an administrator can change this table.**
- Know who holds the role you are changing: open Admin > Users and press the role's button above the list. A change reaches every one of them.

## Read the table

Open Admin > Roles & permissions. Each row is a permission, with its name in bold and a line on what it allows. A tick means the role in that column has it. Point at a cell to see why it is the way it is.

**Grey ticks are fixed**, and cannot be changed:

- The **Administrator** always has everything, so the club cannot be locked out.
- Permissions about a person's own records stay with their own kind of person: "My membership" comes from being linked to a member record, and "Own shifts and availability" from being bar staff. No other role can be given them.
- Some permissions are for the Administrator alone: changing this table, downloading all the club's data, the wording of text messages, membership applications and reading everyone's feedback.
- **Approve and publish the website** belongs to the person named as the website's approver when Sports Club OS was set up for the club. No role, the Administrator included, can be given it.
- **Use Help and feedback** has no ticks at all: everyone who is signed in has it while the assistant is switched on for the club.

## Change what a role may do

1. Open Admin > Roles & permissions.
2. Tick or untick a box in the role's column. The cell is marked as changed, a banner says how many changes are not saved, and the button becomes **Save 1 change** (or the number of changes).
3. Make any other changes.
4. Press **Save 1 change**. A message says **Roles and permissions saved**, and the foot of the page says when it was last changed and by whom.

Nothing changes for anyone until you save.", and the table: roles across the top, permissions down the side grouped by area. *Nothing changes for anyone until you press Save. Shown in release 2026.10.29 · Roles & permissions · as an Administrator.*

Nothing changes for anyone until you save, so you can make several changes and look them over first. **Discard** puts every box back as it was saved. If you leave the page with changes not saved, your browser asks first.

A saved change reaches everyone who holds the role, and is signed in, within a few seconds. (Giving a person a role on Users is different: they see it after they sign in again. See [Add, change and disable logins](https://sportsclubos.net/help/admin/users/index.md).) It is recorded in the audit log, with each permission added or taken away for each role.

## Go back to the starting set

Press **Reset to defaults**. The table goes back to the set every club starts with, and the changes are counted like any others. Press the **Save** button to keep them, or **Discard** to stay as you were. The button is greyed out when the table is already the starting set.

The foot of the page says **This is the standard set-up; nothing has been changed.** until the club first saves a change.

## How a person's permissions add up

A person can hold several roles. They can do whatever any of their roles allows, together with what their own membership or staff record gives them. To see exactly what one person can do, open their page from Admin > Users and look at **What they can do**: each permission is ticked or not, with the role it comes from.

The menu follows the same rules: a section or link shows only for someone allowed to use it. Sports Club OS also checks every request against these permissions, so hiding a link is never the only protection.

## Things to know

- A permission added to Sports Club OS later starts with its own default roles, until your club changes it.
- Removing a permission from a role does not undo anything people already did with it. Their changes stay, and stay in the audit log.
- A role with no permissions left still exists, and people can still hold it.

> **Your club decides:** what each role may do. The starting set is listed in [Roles and their starting permissions](https://sportsclubos.net/help/reference/roles/index.md), and every permission in [Every permission, in plain words](https://sportsclubos.net/help/reference/permissions/index.md).

> **Not built yet:** making new roles of your club's own, or renaming one. Use the roles there are, and change what each allows.
