**Help and feedback** is the button in the top bar of every page, to the right of your initials. On a wide screen it says **Help and feedback**, on a narrower one **Help**, and on a tablet or phone it shows its icon only. It opens a panel where you can ask how to do something in Sports Club OS, or tell the club about something you noticed: a problem, something confusing, something missing or an idea. One conversation can do both.

If you don't see it at all, Help and feedback is switched off for your club.

## Ask how to do something

1. Press **Help and feedback** (or **Help**). The panel opens under the top bar with **Hi. Ask me how to do something in Sports Club OS, or tell me about something you've noticed**.
2. Type your question in the box, for example "How do I change my password?", and press Enter or **Send**.
3. The answer appears in a moment, in plain words.

![The Help and feedback panel open at the right, under the Help button in the top bar: Start again, My feedback and a close button in its heading, the welcome line, a question typed in the box with Send, and the note that an AI model reads what you type and that the club’s administrator can read the conversation.](https://sportsclubos.net/help/img/gs-help-panel-1600.webp)
*The panel stays with you from page to page. Shown in release 2026.10.23 · Competitions · as an Administrator.*

The assistant answers from this Help centre, and only from the articles about what you can do: a member is not told how the office's pages work. Under an answer, **Read more:** names the articles it came from; each opens here, in a new tab. Where the articles do not say, it tells you so and offers to pass your question on as feedback. It cannot see your screen or the club's records, and it changes nothing.

> **Your club decides:** its own settings, such as how far ahead members can book or what a guest pays. The assistant does not know them, so it says the club sets them and where they show on the screen.

If an answer shows that something is missing or hard to find, it may ask whether to pass that on as feedback.

## Tell the club what you noticed

1. Describe what happened, what was confusing, or your idea, in your own words. Say which page it was on: the assistant does not assume it is about the page you are on.
2. The assistant asks what it needs to understand it. Answer in your own words.
3. When it is clear, it offers a summary headed **Here is what I have. Is that right?**, with the kind of feedback (**Something went wrong**, **Confusing**, **Something missing**, **An idea**, **Works well** or **Other**), what it is about, and the summary itself.
4. Press **Save it** if it is right. If it is not, press **Not quite** and say what should change: the assistant offers a new summary.

When it is saved, the card says **Saved** and the panel says who will see it.

Nothing is kept as feedback until you press **Save it**. A summary you do not save is marked **Not saved** once you carry on.

## The panel as you work

- The panel stays with you from page to page, with your conversation in it. Words you have typed and not sent are kept too.
- Drag the panel by its heading to wherever suits, and it stays there on the next page. Double-click the heading to put it back. On a phone it fills the screen below the top bar.
- **Start again** leaves this conversation and begins a new one.
- **×** or Escape closes the panel. The conversation is still there when you open it again.

## Look back at your feedback

Press **My feedback** at the top of the panel. **My feedback** lists everything you saved, newest first: what kind it is, what it is about, when, the page it was sent from and the summary. Press **Show the conversation** to read the conversation it came from. Above the list, choose a kind, or **To do**, **Done** or **All** (the club's administrator marks each one done when it has been dealt with), or search the words.

## Who sees what

- **The club's administrator** reads every conversation, help questions included, and everyone's saved feedback, on the Feedback page. See [Read everyone's feedback, and set Help and feedback's limits](https://sportsclubos.net/help/admin/feedback/index.md).
- **The makers of Sports Club OS** get a copy of each summary you save, with your roles but not your name or email address, and never the conversation.
- **The assistant** is an AI model. It is sent what you type, the names of the pages you are on and can open, your role names, and the parts of this Help centre that answer your question. It is not sent your name, what is on your screen, or anything from the club's records.

Please leave members' personal details out of what you type.

Conversations where nothing was saved are cleared once nobody has added to them for 90 days. Conversations with saved feedback are kept until the club's administrator deletes them.

## Limits

The assistant answers one message at a time for each person, and only so many a minute and a day (6 a minute and 100 a day to start with). The club also has a limit on messages a day and on what it spends a month. When a limit is reached, the panel says so in plain words, for example **That is 6 messages in a minute. Please wait a moment.**, and you can ask again after the minute, the day or the month.

> **Your club decides:** the limits. The administrator sets them on the Feedback page. See [Read everyone's feedback, and set Help and feedback's limits](https://sportsclubos.net/help/admin/feedback/index.md).

## If something goes wrong

- **"Your last message is still being answered."** Wait for the answer before sending another.
- **"I could not answer just now, but what you wrote is kept. Try again in a moment."** Send it again in a moment.
- **"This conversation is as long as one can be. Press "Start again" to begin a new one."** Press **Start again**.

> **Not built yet:** an email to the club's administrator when feedback arrives.
