> Say yes or no to the shifts you are given, from My shifts or the link in your roster email or text, ask for an open shift, or say you can no longer work one.

When the manager publishes the roster, each person is told once about all their new and changed shifts, and asked to say yes or no to each. You answer on **My shifts**, or from the link in the email or text, without signing in. Please answer each one, so the manager knows you are coming.

## Before you start

- Your login must be linked to your staff record. The bar manager adds you as staff with the email address you sign in with. Until then, the page says **Your login isn't linked to a staff record yet. Ask the bar manager to add you with the email address you sign in with.**
- You see only published shifts. A shift the manager has added but not yet published does not appear until it is published.

## Answer your shifts on My shifts

1. Open Me > Staff portal > My shifts. Bar staff start here when they sign in.
2. Under **Needs your answer**, each shift shows its day, its times and length, its position, and the event or function it is for, if any.
3. Press **Yes, I'll be there**. A message says **Thanks — you're confirmed**, and the shift moves to **Coming up**, marked **Confirmed**.
4. If you can't do it, press **I can't do it**. The page asks **Hand this shift back? It goes back to the manager to give to someone else.** Press **Yes, hand it back**, or **Keep it** to change your mind. A message says **Shift handed back**, and the shift goes from your list.

*Answer each shift so the manager knows you are coming. Shown in release 2026.10.29 · My shifts · as a Bar Staff.*

A shift handed back becomes an open shift, offered to other staff who can work then. The manager is told by email.

**Last four weeks** lists the shifts you worked recently.

## Answer from the link in your email or text

The email or text you get when the roster is published has a link: **Say yes or no to your shifts** in an email, or a short link at the end of a text. It opens a page with your name, without signing in.

1. Open the link. The page says, for example, **Please say yes or no to these 2 shifts.**
2. Under **Needs your answer**, press **Yes, I'll be there** or **I can't do it** for each shift. Here, **I can't do it** hands the shift back straight away, with no second question.
3. The page says, for example, **Thanks. You are confirmed for Saturday 17 October.**, and the shift moves to **Confirmed**.

![The roster link page on a phone, with the club's name: Hi Mia, Please say yes or no to these 2 shifts, a Saturday Bar shift and a Sunday Events shift for a christening lunch, each with Yes, I'll be there and I can't do it, and below them a Sunday shift marked Confirmed.](https://sportsclubos.net/help/img/me-confirm-link-780.webp)
*Opening the link changes nothing. Only pressing a button answers. Shown in release 2026.10.29 · confirm.html · as a Bar Staff.*

The link shows your own published shifts from today on, and nobody else's. It is yours alone, so don't forward it. Opening it changes nothing: only pressing a button answers. It works for 45 days; after that the page says **This link has expired. Sign in to Sports Club OS to see your shifts.**

To change an answer you have already given, or to see everything, sign in and use **My shifts**.

## If you can no longer work a confirmed shift

1. On **My shifts**, under **Coming up**, press **I can no longer work this** on the shift.
2. The page asks **Tell the manager you can no longer work this shift? It stays yours until they find someone else, so please still come if you hear nothing.** Add a note for the manager if you like.
3. Press **Tell the manager**. A message says **The manager has been told**, and the shift is marked **Manager told you can't work it**.

The shift stays yours until the manager finds cover, and you get a message when they do. It is offered to other staff in the meantime. If you can work it after all, press **I can work it after all**.

## Take an open shift

**Open shifts** lists shifts that still need someone, for the positions you are marked for and at times you are free. They show no names. How the manager decides requests is in [Open shifts and requests](https://sportsclubos.net/help/roster/open-shifts/index.md).

- Press **I can do this** to ask for one. A message says **Request sent to the manager**, and the shift is marked **Asked — waiting for the manager**. You are told when the manager approves or declines it. To take your request back, press **Take my request back**.
- Where the button says **Take this shift**, your club has turned approval off: pressing it makes the shift yours, confirmed, and a message says **It's yours — you are confirmed**. The first person to press it gets it.
- A shift that clashes with one you already have says **You already have a shift at this time.**, and cannot be asked for.

> **Your club decides:** whether open shifts need the manager's approval, or go to the first person who takes them.

## A shift for a function

A shift rostered for a function shows the function's name, and **Open the function sheet**, which opens that function's sheet. You can open it only while you are rostered for the function.

## How you are told

You are told about your shifts on **My shifts** always, and by email, text or both as you chose under **How to tell me about shifts** on Me > Staff portal > My availability. You also get a reminder before each shift, and a reminder when shifts have been waiting a while for your answer, at times the manager sets. Reminders are sent between 8am and 9pm only. See [How staff are told: email, text and My shifts](https://sportsclubos.net/help/roster/notifications/index.md).

## If something goes wrong

- **A shift you were told about is not on My shifts.** The manager may have changed or cancelled it since. You are told when they publish the change.
- **The link page says "That shift is no longer yours to answer."** The manager has moved it to someone else or removed it since the message was sent. The page then shows your shifts as they are now.
- **The link page says "This link is not working."** Sign in and use **My shifts** instead.
