# Membership types and the membership year

> Every setting on a membership type, and the club's membership-year rules for what someone joining part-way through pays.

Membership types are the kinds of membership the club sells, such as Adult, Junior, Family or Social. Each has its fees, when it renews, what it includes and whether it can be paid monthly. They are on Admin > Settings, **Membership types** tab. The rules for someone joining part-way through the year are on the **Club** tab, under **Membership year**. Both need the permission to change the club's settings, which the Administrator has by default. ## The list of types

The tab lists each type with its **Annual fee**, **Joining fee**, **Renewal policy**, what it **Includes**, and whether it is **On** or **Off**. A chip says **Off-peak** or **Monthly too** where those apply. Press a type to change it, or **Add type** to make one. Each opens a side panel with its own **Save** and **Delete**.

## A type's settings

| Setting | What it does |
|---|---|
| **Name** | What members, invoices and the list call it. |
| **Annual fee** | The yearly fee, charged in full at each renewal. |
| **Joining fee** | Charged once, when someone joins. |
| **GST on the fee** and **GST on the joining fee** | Whether each is taxable, GST-free or otherwise. Taxable unless the club's accountant says otherwise. |
| **Renewal policy** | **Everyone renews on the same date each year** (a membership year ending on the day and month you set, such as 31 July), **Renews on the anniversary of joining**, or **No expiry** (for life or honorary memberships). |
| **Sports included** | The sports its members can book. None ticked means all sports. |
| **Online bookings per week** | How many bookings a member may make for themselves each week. 0 uses the club-wide rule. |
| **Display order** | Where it sits in lists. |
| **Off-peak only** | Its members cannot book online in peak times. |
| **Can be paid monthly** | Members on it may pay by the month. Not offered for a type with no expiry. |
| **Monthly fee** | The monthly price. Left blank, it is a twelfth of the annual fee. A new fee applies from the next month invoiced. |
| **Available for new members** | Unticked, the type is **Off**: kept for the members who have it, but not offered on the join form or when changing how someone pays, and an application for it cannot be elected. |

Prices show and are typed including or excluding GST as your club has chosen, and the label says which, for example **Annual fee (inc GST)**.

> **Note:** Changing a fee does not change invoices already raised. It applies to the next renewal or joining invoice, and for monthly members to the next month invoiced.

> **Note:** A type marked **Off** is still in the **Membership type** list on **New member** and **Edit details**. Choose only the types the club currently offers.

## The membership year

For types that renew on the same date each year, the **Club** tab's **Membership year** section decides what someone joining part-way through pays:

| Setting | What it does |
|---|---|
| **Pro-rate the first year for people who join part-way through** | Ticked, a new member pays for the months left in the membership year. Unticked, they pay the full annual fee. |
| **Round the pro-rated fee to** | **The exact cent**, **The nearest $1**, **$5** or **$10**. |
| **The month they join** | **Is free — charge from the following month**, or **Is charged as a full month**. |
| **Late joiners carry into next year** | **Never**, or joining in the last 1 to 4 months: they pay one full year and are covered to the end of the following year. |

For example, with a membership year ending 31 July, a $700.00 annual fee, the month of joining free and rounding to the nearest $10: someone joining in October pays for 9 months, $525.00, rounded to **$530.00**, and is covered to 31 July.

Joining within the first month of the membership year is always a full year. A type that renews on the anniversary of joining always charges the full fee, for a year from the day they join.

These rules are used when the office adds a member, on the public join form (**Join this month: $530 for the 9 months to 31 July**), and when an application is elected.

## Renewing

A renewal always charges the full annual fee. For a type with a membership year, it covers the next year to the year's end, however late it is paid. For an anniversary type, it adds a year to the old expiry. See [Raise renewal invoices](https://sportsclubos.net/help/membership/renewals/index.md).

## Invoices & renewals

The same **Club** tab has, under **Invoices & renewals**, **Show renewals this many days ahead** (where the Renewals page starts), **Raise Auto members' renewal invoices this many days before expiry**, and **New members start on Auto renew and invoice**. Press **Save settings** after changing anything on the **Club** tab. **Unsaved changes** shows beside it until you do.
