# Charge to a member's account

> Put a sale on a member's household account, within its limit. Charges go on one invoice a month, issued on the 1st, and count as income when it is paid.

Who this is for: Anyone with “Charge to a member's account” or “Use the till” or “See sales and till sessions” or “Run the till” (by default: Administrator, Head Coach, Casual Staff, Bar Manager, Bar Staff, Reporting, Treasurer).

A member can put what they buy on their household's account instead of paying at the counter. Everything a household charges in a month goes on one invoice to the head of the household, issued on the 1st of the next month. Each household has a limit on what may be owing at once.

## Before you start

- You need to be able to charge to a member's account. The Bar Staff, Bar Manager, Casual Staff and Head Coach roles can by default.
- The member's membership must be **Active**. A member awaiting renewal, or whose membership has lapsed, been suspended or cancelled, cannot charge.

> **Note:** the member does not need to be there, and the till asks for no card or PIN from them. The account rests on trust: each charge records who put it through, when and on which till, and that record is never changed afterwards.

## Charge a sale

1. Find the member in **Visitor · find a member** before adding anything. Their card shows **Account:** and what is left to charge, for example **Account: $184.00 left to charge**.
2. Add the products and press **Pay**.
3. Press **Member account**. It shows the member's name and what is left to charge.

The sale is paid, and the receipt shows **Member account** as the way it was paid. For a guest's sale, the charge goes on the host's account.

The till shows only what is left to charge on the account, never what the household owes.

A member's tab still open when the till session closes goes on their account too, even if that takes the account over its limit. See [Open and close a till session, and count the drawer](https://sportsclubos.net/help/pos/open-and-close/index.md). Guest fees owing on a booking can be charged the same way. See [Sell court time and take guest fees at the till](https://sportsclubos.net/help/pos/courts-and-guest-fees/index.md).

## The limit

- When a sale would take the account over its limit, the member's card warns: **On the account, this sale would pass its limit: $40.00 is left to charge.** The **Member account** button says **Over the limit: a manager approves**, or **Over the limit: you approve it** to someone who may give overrides.
- Someone who may give overrides can put it through themselves. Anyone else is asked for a manager's PIN. See [Voids, refunds and manager approval](https://sportsclubos.net/help/pos/refunds-and-overrides/index.md).
- The till also warns when a charge brings the account near its limit, for example **The account is near its limit: $170.00 of $200.00.**

> **Your club decides:** the limit for every household ($200 to begin with) and how near it the till warns (80% to begin with), on POS settings. A household can have its own limit, set on the member's page.

## Juniors

A member under 18 can charge to the household account only:

- never for alcohol, and
- only while the household allows juniors to charge. The head of the household turns this off on My purchases, and the bar manager on the member's page.

## The monthly account invoice

- Each household has one invoice a month for its account charges, to the head of the household, with a line for each sale and category, such as "14/10: 2 Pint, Chips (Sam)". A charge by someone else in the household carries their first name.
- The invoice is a draft while the month runs, and is kept up to date as charges are made or refunded. It is issued on the 1st of the next month, due after the number of days the club sets for invoices.
- Once an invoice has a payment on it, it is left as it is, and later charges that month start another invoice.
- A charge is not income at the till. It becomes income when the invoice is paid, recorded on the Invoices page like any other payment.

> **Not built yet:** Sports Club OS does not email invoices. The office sends the account invoice as it does any other.

## The member's Purchases tab

On a member's page, the **Purchases** tab shows the household's account at the till: what is owing, its limit and whether it is the club's, what has been charged this month, the prepaid credit and its history, whether juniors may charge or spend credit, what the household bought at the till in the last three months, each month's account invoice and any restringing jobs. The whole household shares one account and one credit balance, so it shows all of it.

Account at the till: owing $16.00 of a $200.00 limit, the club's limit, $16.00 charged this month on one invoice issued on the 1st of next month, and a box for their own account limit with Save. Prepaid credit $60.00 with its top-up. Juniors in the household: may charge to the account, never alcohol, and may spend the prepaid credit, never on alcohol. *Only someone who may see till sales sees this tab. Shown in release 2026.10.29 · Member page · as an Administrator.*

The tab shows only to someone who may see till sales, as well as members. A member's purchases are private: being able to see the member list is not enough.

*For anyone who can: “Run the till”*

## Set a household's own limit

1. On the member's page, open the **Purchases** tab.
2. Under **Their account limit**, type the amount and press **Save**. Clear it to go back to the club's limit.
3. Tick or untick **May charge to the account (never alcohol)** and **May spend the prepaid credit (never on alcohol)** for the household's juniors. Each change is saved at once.

Each change is recorded in the audit log.

## If something goes wrong

- **"Cannot charge: the membership is awaiting renewal."** (or lapsed, suspended or cancelled) Only an Active member may charge. Take payment another way.
- **"Under 18: no alcohol on the account"** The sale has alcohol on it and the member is under 18.
- **"Lily Harper's household has turned off charging for juniors."** The household does not allow its juniors to charge.
- **"You cannot charge to accounts"** You do not have permission to charge to accounts. Ask the bar manager.
- **"This would bring the account to $215.00, over its limit of $200.00."** A manager approves it, or take payment another way.
