# Make a sale and take payment

> Add products to a sale, choose who it is for, then take cash, EFTPOS, an account charge or prepaid credit, and give a receipt.

Who this is for: Anyone with “Use the till” (by default: Administrator, Head Coach, Casual Staff, Bar Manager, Bar Staff).

The till sells from buttons, one group of products at a time. Choosing the member first gives member prices on everything you add. Payment can be cash, EFTPOS keyed on the club's own terminal, a charge to the member's household account, the household's prepaid credit, or a function's bar tab, and one sale can be paid in more than one way.

## Before you start

- You need to be able to use the till. The Bar Staff, Bar Manager, Casual Staff and Head Coach roles can by default.
- To take cash, a session must be open on the till. See [Open and close a till session, and count the drawer](https://sportsclubos.net/help/pos/open-and-close/index.md).

## Choose who the sale is for

Do this first, so the prices are right from the start. A sale with nobody chosen is a visitor's.

- **A member:** type a name, member number or card number in **Visitor · find a member**, then choose them from the list. The list shows each person's number, membership type, status and whether they **May charge**. Their card then shows **Member prices**, what is left to charge on the household's account and any prepaid credit. You can also scan a member's card into the search box at the top and press Enter.
- **A member's guest:** press **Guest** and find the member they are with. The host must be a current member, and the guest pays visitor prices.
- **A function:** press **Function** and choose one of today's confirmed functions. See [A function's bar tab](https://sportsclubos.net/help/pos/function-bar-tab/index.md).

A member whose membership has lapsed, been suspended or been cancelled pays visitor prices, and the till says so. A member awaiting renewal still gets member prices but cannot charge to the account.

## Add products

1. Press a group along the top (**Beer**, **Wine**, **Snacks**, **Shop** and so on), then a product's button. Or type in **Search or scan a barcode**, or scan the product's barcode.
2. If the product has sizes, choose one (for example **Pot**, **Schooner**, **Pint** or **Jug**). Each size shows its price for this customer.
3. If it has add-ons, the till asks, for example, **Add to Gin?** with **Mixer** and **Double shot**. Press any that apply, then **Done**.
4. A product with a price typed at the till asks for the price, including GST, and what it is for.
5. Press a line on the sale to change it: **−** and **+** for the quantity, **Discount** for that line, or **Remove**.

The first time something with alcohol goes on the sale, the till asks **Who is this sale for?**: **Member**, **Guest**, **Visitor** or **Function**. This is asked once a sale, for the club's records. For a guest or a visitor, the question carries the reminder to check ID if they look under 25. See [Licensed hours, age and ID checks](https://sportsclubos.net/help/pos/licensing-checks/index.md).

A product that cannot be sold to this customer now is greyed, with the reason on its button: **No alcohol now**, **Under 18**, **Members only** (takeaway) or **None left**.

## Take payment

1. Press **Pay**. **Take payment** shows what is **To pay** and the amount **Taking now**, which starts at the whole amount.
2. To take only part, type the amount on the number pad. To split the bill, press **2** to **6** beside **Split equally**: the till takes each part in turn.
3. Choose how it is paid:
   - **Cash:** press **Exact**, or the note handed over ($10, $20, $50 or $100) to see the change, or type another amount in **Other amount handed over** and press **Take**.
   - **Card on the EFTPOS machine:** key the amount into the club's EFTPOS terminal. When it says **Approved**, press **Approved: record it**. If the card is declined, press **It was declined** and nothing is recorded.
   - **Member account:** charges the member's household account, within its limit: over the limit needs a manager. The charges go on one invoice a month. See [Charge to a member's account](https://sportsclubos.net/help/pos/charge-to-account/index.md).
   - **Prepaid credit:** spends the household's credit, up to what is left. It never goes below nothing. See [Prepaid credit](https://sportsclubos.net/help/pos/prepaid-credit/index.md).
   - **The function's tab:** for a function's sale, the whole sale goes onto its bar tab.

*Each way to pay says why when it cannot be used for this sale. Shown in release 2026.10.29 · Till · as an Administrator.*

Each way to pay says why when it cannot be used, for example **Open a session to take cash**, **Choose the member first** or **No credit**.

When the sale is paid, the till shows **Paid** with the change to give and the receipt. Press **New sale**, or any product, to start the next one.

## The receipt

Every receipt is a tax invoice with the club's name and ABN, each item, the total and the GST in it. From the paid sale:

- **Print here** prints it from this browser.
- **Receipt printer** sends it to the till's receipt printer, if it has one.
- Type an email address in **Email the receipt to…** and press **Send**.

See [Receipts and receipt printers](https://sportsclubos.net/help/pos/receipts-and-printers/index.md).

## Clear a sale or keep it for later

- **Clear** throws away everything on a sale that has not been paid or put on a tab. The till asks first.
- **Tab** keeps the sale open under a name, to add to and pay later. See [Open, add to and close a tab](https://sportsclubos.net/help/pos/tabs/index.md).
- Moving to another tab with something on the sale asks **This sale is not finished**: **Go back to it**, **Clear it** or **Put it on a tab**.

## Large sales

A sale of $1,000 or more needs the buyer's name on its tax invoice. **Take payment** asks for it before the sale can be paid.

> **Your club decides:** the amount at which the buyer's name is asked for, on POS settings.

## If something goes wrong

- **"Choose the person from the list, or clear the name."** A name was typed in the customer box but nobody was chosen. Choose them, or press **×** to clear it.
- **"Only $9.50 is owing."** The amount typed is more than is left to pay.
- **"Open a till session first: cash is taken only in a session."** Open a session, then take the cash.
- **"A top-up of credit goes on a sale of its own. Finish it first."** or **"…Finish this sale first."** Prepaid credit is topped up on a sale with nothing else on it. Finish or clear the other sale first.
