# Why do two reports give different totals?

> Two figures that look alike usually count different things, over different days, or for someone who sees different groups. How to find which.

Who this is for: Anyone with “Committee reports” or “Build reports” (by default: Administrator, Head Coach, Casual Staff, Sports Convener, Reporting, Treasurer).

Two reports give different totals when they count different things, over different days, or for people who see different groups. Each widget says under its figures what it counts and the period it covers: read those lines first. These are the reasons, most likely first.

## They cover different days

- **Committee reports' Income** headline covers the latest twelve **full** months, and leaves out the month now running. Its Income tab, and a widget set to **The last 12 months** or **This year**, include days the headline does not. For example, a headline of **Income, Nov 2025 – Sep 2026: $7,429** sits beside **All 40 payments received since Nov 2025, totalling $7,660.00**: the difference is October so far.
- **Committee reports' Court use** opens on the last 35 days. A ready-made court use widget covers the last 30.
- **A period still running** is compared with the same number of days of the earlier one ("against last financial year, to the same day"), not with the whole of it.
- **On a report page**, **Show every widget for** can put every widget on one period. The same widget on your Dashboard keeps its own.
- **"This year"** follows the club's year: the financial year unless your club chose the calendar year on the Reports tab of Settings.

## They count different people

- **Members** means current members and those awaiting renewal. **Current members** leaves out those awaiting renewal. **People with a membership record** counts everyone with a membership, whatever their status, lapsed and cancelled included. For example: 10 current members, 11 members, 12 people with a membership record. See [Membership statuses, and what Expired means](https://sportsclubos.net/help/members/statuses/index.md).
- **Joined** counts by the joining date on the member's record; Committee reports' **New members by year joined** counts everyone by the year their record began, including people who have since left.
- A member count for a day in the past comes from that day's own count. A record changed since then does not change it.

## They count different money

- **Income received** is money received, by the day it came in. **Invoiced** is invoices issued, by the day they were issued. An invoice raised this month and paid next month is in one month's invoiced and the next month's income.
- Drafts and voided invoices are never counted as invoiced.
- A payment on an invoice with several kinds of line is shared across them, to the cent. Grouped **by income stream** and **by invoice line category**, the same payment can fall in different groups. Payments brought in from the club's previous system are given a category from their stream.
- Till sales charged to a member's account, or to a function, become income when that invoice is paid, not on the day of the sale.
- Prepaid credit topped up at the till is money held for a household, not income, so no income figure counts it.
- Income figures in Reports include GST. Figures on the Finance pages that say they exclude GST will be lower.

## They count different bookings

Cancelled bookings are never counted, and nor is a weekly programme that an import from the club's previous system repeated forward. A list of bookings elsewhere that shows those will have more.

## You see different groups

- Someone who cannot open the member list sees small groups of people as "<5", with the total unchanged. See [Why some figures show "<5"](https://sportsclubos.net/help/reports/small-numbers/index.md).
- On a shared report page a widget your roles do not let you see says **You don't have access to this.** The person who shared it sees its figures.
- **The first 5, then the rest together** puts the smaller groups into **Everything else**, which is easy to miss.

## To check a figure

Press the bar, column or large figure to list the rows behind it, if your roles let you see them. Comparing the two lists usually shows the difference at once. See [Make your own widget](https://sportsclubos.net/help/reports/make-a-widget/index.md).
