# Set up competitions and reports

> Give conveners and the committee their roles, set what "this year" means in reports and the smallest group shown, and start the committee's report pages.

Who this is for: Anyone with “Club settings” or “Run competitions” or “Build reports” or “Committee reports” (by default: Administrator, Head Coach, Casual Staff, Sports Convener, Reporting, Treasurer).

Competitions and reports need little setting up, but two decisions matter: who runs competitions, and what the committee sees.

## Before you start

- The reports settings are for the Administrator by default.
- Decide who runs the club's competitions (usually volunteer conveners, who are members) and who on the committee reads the figures.

## Competitions

1. **Give each convener the Sports Convener role.** It lets them run competitions and choose what the club's TVs show. A convener is a member, not staff, so the role sees other members by name, member number and club rating only. See [Give people logins and roles](https://sportsclubos.net/help/setup/users-and-roles/index.md).
2. **The convener creates the first competition** on Club > Competitions > All competitions: a ladder, box league, round robin or knockout, with entries open to members. See [Create a competition and take entries](https://sportsclubos.net/help/competitions/create/index.md).
3. **Ratings start at 1500** for every player in every sport, and move with each result. See [Club ratings](https://sportsclubos.net/help/competitions/ratings/index.md).

> **Not built yet:** connecting the club's ratings to SquashLevels or UTR, messages to players, and a nightly check that lapses unanswered challenges.

## Reports

1. **Give the committee the Reporting role.** It can see the member list, bookings, invoices, functions, till sales and the bank statements, and every report, and it changes no club records. The treasurer's own role is Treasurer.
2. **Set the reports settings** on Admin > Settings, **Reports**, and press **Save report settings**. See [Change the reports settings](https://sportsclubos.net/help/reports/settings/index.md).
   - **The club's year**: what "this year" and "last year" mean. **The financial year** (it starts on 1 July to begin with; New Zealand clubs usually use 1 April), or **The calendar year, from 1 January**.
   - **Small groups**: the **Smallest group shown** (5 to start with, from 3 to 20). Someone who cannot open the member list sees a smaller group as "<5", so a figure cannot point to one person. See [Why some figures show "<5"](https://sportsclubos.net/help/reports/small-numbers/index.md).
   - **Why members leave**: the reasons offered when someone lapses or is cancelled, up to 12.
   - **AI Report Assistant**: whether it is offered, and its limits, when the club has it.
3. **Start the committee's report pages.** On Reports > Report pages, press **Start from a template** and choose one, such as the Committee pack or the Treasurer's monthly, then share it with the roles that should open it. See [Report pages, and sharing them](https://sportsclubos.net/help/reports/report-pages/index.md).

## Check it worked

- Ask a committee member to open Reports > Committee reports and the report pages shared with them.
- A convener's menu has **Competitions** under Club.
