# Moving from SportLogic or inTennis

> How a club moves from SportLogic or inTennis: what is brought across for you, what the club exports, what to check, and what stays behind.

Who this is for: Anyone with “Club settings” or “Add and change members” (by default: Administrator, Head Coach, Casual Staff).

A club moving from SportLogic or inTennis can bring its whole history to Sports Club OS: members and their families, their memberships, invoices and payments, and bookings. That changeover is done for the club, by whoever sets Sports Club OS up, from exports the club makes from its old system. The club then checks it and carries on.

If you only need the people (no history), the club can do that itself from a member export: see [Bring in your members from a spreadsheet or another system](https://sportsclubos.net/help/setup/import-members/index.md).

## Before you start

- Agree a changeover day with whoever is setting Sports Club OS up for your club. Choose a quiet time: not the weeks renewals are due.
- Set up the club's details, membership types, courts and price list in Sports Club OS first, or agree that they will be set up from the old system's own. Steps 1 to 5 of [Set up Sports Club OS for your club: the steps in order](https://sportsclubos.net/help/setup/overview/index.md).
- Decide who at the club will check the data afterwards: usually the Administrator and the treasurer.

## What the club does

1. On the agreed day, export the club's data from SportLogic or inTennis: the member list with families, membership types, invoices and payments, and bookings. Whoever sets Sports Club OS up will say which exports they need.
2. Stop making changes in the old system from then on, so nothing is missed. Anything that has to change in between, write down and make in Sports Club OS afterwards.
3. Hand the exports over privately. They hold every member's personal details: do not email them.

## What is brought across

- **People and households**: every member, former member and contact, with their details. Each family is linked to the person who pays for it.
- **Membership**: each person's membership type, status, joining date and expiry. The statuses are the same as the old system's: Active, Suspended, Lapsed and Cancelled. **Expired** is worked out by Sports Club OS: an Active member whose expiry date has passed.
- **Invoices and payments**: each invoice with its lines and the payments made on it. Each line is given a category for the income figures, worked out from what it was for.
- **Bookings**: past bookings, and the club's regular weekly bookings carried forward.

## What to check afterwards

- The number of members by status and membership type, against the old system's own report.
- A handful of families: the right people in each, and the right person paying.
- A handful of members' expiry dates, especially those due to renew soon.
- The total owing on unpaid invoices, against the old system's debtors report.
- The courts' regular weekly bookings on Club > Bookings > Calendar.

## Things to know

- **Logins do not come across.** Members make new logins with **Create your portal account**, using the email address the club has for them, and the club approves them. Staff are given logins on the Users page. Nobody's password leaves the old system.
- **Imported money in the Finance pages.** For money taken before the changeover, Sports Club OS does not know exactly how much GST was in each payment, so the GST figures for those days are worked out as one eleventh and marked as estimated. Bank reconciliation starts from a date the club chooses, after the changeover.
- **The regular weekly bookings** carried forward are left out of the booking figures in the reports, so the figures show only real bookings.
- **Email choices** do not come across. Each member is asked what they want to be emailed about the first time they sign in.
