Setting a club up is a run of steps, most of them on Admin > Settings. Do them in this order: each step uses what the one before it set up. Membership types come before members, for example, because each member is given a type.

## Before you start

When Sports Club OS is set up for your club, you are given the club's address for Sports Club OS and an Administrator login. A few things are set then, not by the club: the address the club's emails come from, who approves changes to the club's website, and whether the AI features are switched on. Ask whoever set Sports Club OS up for your club if any of these need to change.

Decide who is doing the setting up. One person at the club, the Administrator, usually does all of it in a few evenings, with the treasurer for the money steps and whoever runs the bar, the coaching and functions for their parts.

Have to hand:

- The club's details: name, ABN, phone, email, the address printed on invoices, and the bank details members pay into.
- Every kind of membership, its fee and joining fee, and when it renews.
- The courts and tables, and the hours each sport opens.
- What the club charges for besides membership: court hire, guest fees, lockers.
- The member list, from your current system or a spreadsheet.
- Whether the club's accountant wants prices typed including or excluding GST.

Turn on two-factor sign-in for your own login first: open the account menu (your initials, top right) and press **Password & two-factor**. An Administrator can change everything, so this login needs the extra protection.

## The steps

1. **The club's details:** name, ABN, contact details, invoice numbering and payment terms. [Enter your club's details](https://sportsclubos.net/help/setup/club-details/index.md).
2. **How prices are entered and GST:** before typing any price, decide whether prices are entered including or excluding GST, and leave every charge taxable unless the accountant says otherwise. [Set up GST codes, price entry and your accounts](https://sportsclubos.net/help/setup/finance/index.md).
3. **Sports, courts and booking rules:** each sport's hours and grid, every court and table, and the rules for members booking online. [Set up courts, tables and booking rules](https://sportsclubos.net/help/setup/courts-and-rules/index.md).
4. **Membership types and fees:** each kind of membership, its fees, and when it renews. [Set up membership types and fees](https://sportsclubos.net/help/setup/membership-types/index.md).
5. **The price list:** everything else an invoice can charge for. [Set up the price list](https://sportsclubos.net/help/setup/price-list/index.md).
6. **Invoices and renewals:** how far ahead renewals are raised, the membership year's rules, and auto renew. [Set up invoices, renewals and auto renew](https://sportsclubos.net/help/setup/invoices-and-renewals/index.md).
7. **Email categories:** what members can choose to be emailed about. [Set up email categories and how members choose them](https://sportsclubos.net/help/setup/email/index.md).
8. **Your members:** bring them in from your current system or a spreadsheet, then check households and tags. [Bring in your members from a spreadsheet or another system](https://sportsclubos.net/help/setup/import-members/index.md).
9. **Logins and roles:** make logins for the office, bar, coaches and committee, each with the roles they need. [Give people logins and roles](https://sportsclubos.net/help/setup/users-and-roles/index.md).
10. **The join form:** where people apply to join, and putting it on your website. [Put the join form on your website](https://sportsclubos.net/help/setup/join-form/index.md).

Then the parts your club uses, in any order:

- The bar and shop: [Set up the till: products, licensed hours, tills, PINs and printers](https://sportsclubos.net/help/setup/till/index.md).
- Bar and events staff: [Set up the bar and events roster](https://sportsclubos.net/help/setup/roster/index.md).
- Coaching and classes: [Set up classes and coaching](https://sportsclubos.net/help/setup/classes/index.md).
- Venue hire: [Set up function rooms, items, packages and terms](https://sportsclubos.net/help/setup/functions/index.md).
- The treasurer's work: [Set up bank accounts for reconciliation](https://sportsclubos.net/help/setup/bank-accounts/index.md).

## Then go live

Work through [Before you go live: a checklist](https://sportsclubos.net/help/setup/go-live/index.md), and in the weeks after, [The first month: what to check](https://sportsclubos.net/help/setup/first-month/index.md). What Sports Club OS does not do yet is listed in [What is not built yet](https://sportsclubos.net/help/reference/not-built/index.md).

## Moving from another system

If the club is moving from SportLogic or inTennis, read [Moving from SportLogic or inTennis](https://sportsclubos.net/help/setup/from-sportlogic/index.md) before step 8. If the club has kept its members in spreadsheets, read [Moving from spreadsheets](https://sportsclubos.net/help/setup/from-a-spreadsheet/index.md).

## Check it worked

- Every tab of Admin > Settings has been looked at: [Club settings, tab by tab](https://sportsclubos.net/help/admin/settings/index.md) lists every tab and where each is explained.
- Sign in as one of the new logins (or ask the person to) and check their menu holds what they need and nothing more.
