# What the Website editor does

> Change the club's public website from Sports Club OS, in a private draft, on the page or by asking an assistant, then send it for approval before it goes live.

Who this is for: Anyone with “Change the website” or “Approve and publish the website” (by default: Administrator, Website Editor).

The Website editor is where the club changes its public website. Every change is made in a **draft**: a private copy of the whole website, at a private address of its own. You change the draft by editing the page itself, or by asking an assistant in plain words. When it is ready you send it for approval, and it goes live only when an approver publishes it. Every version that has been live is kept, so an earlier one can be put back.

## Who uses it

- **Website editors** start drafts, change them and send them for approval. The Website Editor and Administrator roles can do this by default. Your club can give it to other roles on Roles & permissions.
- **Approvers** look at what changed, then publish the draft or send it back with a note. They can also make an earlier version live again. Approvers are not a role: they are the few logins named when Sports Club OS is set up for the club, and the Administrator is not one unless named. An approver must have two-factor sign-in turned on.

## Where things are

The menu has Club > Website, which opens to three links:

| Link | What it is for |
|---|---|
| **Previous** | **Versions**: every version that has been live, who sent and who approved it, and the history of what was published when. An approver can make an earlier version live again here. |
| **View live** | Opens the public website in a new tab. |
| **Modify** | The draft and its editor. With no draft open, it shows what is live now and **Start a draft**. |

An approver also uses **Review the website**, the page that shows a draft sent for approval. It opens from the email they are sent, from **Waiting for your approval** on the Website page, or from **Review and approve** on the draft.

## How a change goes live

1. Someone presses **Start a draft**. Only one draft can be open at a time.
2. They change it: **Edit the page** to type on the page, swap pictures and move or add blocks; or **Ask the assistant** to describe a change in words. Everything is saved as you go, and **Undo** steps back one change at a time.
3. They press **Send for approval…**. Sports Club OS checks the draft first, and stops it if something is left unfinished, such as a detail still in square brackets.
4. The approver reads exactly what changed, word by word, then presses **Approve and publish** or **Send back…**.
5. Once approved, the draft becomes the next version and reaches every visitor in about half a minute.

## What it connects to

- The website's **join form** sends applications to Membership applications.
- The **Functions** page shows the club's function rooms, which days are free, and takes enquiries, as the club's own venue page does.
- **What's on** and the sport pages show the live class timetable.

These parts are drawn by the website itself from Sports Club OS. Neither you nor the assistant can change the join form or the functions enquiry form, and the timetable and room availability fill themselves in.

## What it does not do

- The website and Sports Club OS are kept apart. The website, and every draft, live at addresses of their own, and nothing on the website can reach the club's records.
- A change is never published without an approver.

> **Not built yet:** "Compare with live" on any version other than the draft, and an email to anyone when an earlier version is made live again. See [What is not built yet](https://sportsclubos.net/help/reference/not-built/index.md).
