QUESTIONS
Common questions
Plain answers, including what the system does not do yet.
Before you start
Is this only for tennis or squash clubs?
Sports Club OS is designed around member clubs with several activities, staff and a clubhouse. Tennis, squash and snooker informed the first build. A walkthrough is the best way to check the fit for your club.
Is there a trial?
The walkthrough is the place to start: thirty minutes on a made-up club, and you can ask to see any job your office does.
Do we need to install anything?
No. The club system runs in a web browser. The office uses a computer, and members and staff use their phones. There is no app to download.
What happens in the walkthrough?
Thirty minutes with Adam, using a made-up club. Bring your questions and tell us how your club works. We look at the parts that matter to your committee, and you get a firm price.
Money
What does it cost?
A$215, A$500 or A$1,075 a month + GST, by the size of your membership, billed yearly. Every plan has every part of the system. See pricing.
Is set-up really free?
Yes, on a three-year agreement. Otherwise it is a one-off A$1,430 + GST. It covers bringing your data across, setting the club up with you and showing your office and committee around.
Can members pay online by card?
Not yet. Today a payment is recorded against the member’s invoice when it arrives by bank transfer or at the club. Online card payment is being built.
Does it connect to Xero?
Not yet. It is being built. Meanwhile the Administrator can download everything the club holds as spreadsheets.
Can members pay monthly?
Yes, for a membership type the club allows it on. A member, or the head of their household, chooses yearly or monthly on their own page, and each month’s invoice is made automatically. It is not charged to a card automatically yet: monthly invoices are paid the ways invoices are paid today. Direct debit is not available.
Can we reconcile our bank statement?
Yes. Import the statement as a CSV file, check the suggested matches against invoice payments and till cash takings, and confirm them. It never changes a payment. EFTPOS settlement days with their fees, OFX files and an export for Xero are not built yet.
Do you take a share of our takings?
No. The price is fixed, and nothing is taken from your takings.
Changing over
Can we take our data with us if we leave?
Yes. The Administrator can download everything the club holds at any time, as spreadsheets (CSV) and JSON files in one zip, with a README. Secret codes and sign-in tokens are left out, and each download is recorded in the audit log. Before an account closes we help with anything the download does not hold, such as the website’s pictures and documents. Your rights, and leaving.
Can you bring our current data across?
We can import SportLogic and inTennis exports, and work with spreadsheets from other systems. We review what you have and agree what can be brought across before changing over. How changing over works.
When is the best time to change?
The quiet weeks after renewals are usually the easiest. We will help you pick yours.
Can we keep our federation’s system?
Yes. A club can keep its federation’s system for registrations and pennant, and run the rest of the club on Sports Club OS.
Data and privacy
Where is our data kept?
Kept in Australia, on Amazon Web Services in Sydney. Read the Trust Centre.
Who can see our members’ details?
Only the people your club gives a role to, and only the parts that role allows. A convener sees the ladder, not invoices. Every change is recorded. See the starting roles.
How are juniors shown on public screens?
By first name and initial. Public screens show names and scores only.
Do you sell or share our members’ data?
No.
Does the AI see our members’ details?
No. When the system drafts an email for you, the model is sent only your description and the club’s name, and the request is processed in Australia. The email and website assistants are sent no member data. The AI Report Assistant reads club data, read-only, and only for people whose role already lets them see it. Help and feedback is sent your question and the names of your pages and roles, never your name or anything about a member. More in the Trust Centre.
Support
Who supports us?
Adam Gough and Simon Craft, who run Sports Club OS. For your first year they are on hand directly. After that you get a reply within 24 hours, and anything that stops the club working is fixed or worked around within 24 hours. Support, training and updates.
What training do we get?
The office and the committee are shown around in sessions on your own club’s data. Each feature has a short video, in the club system demos. Adam and Simon are on hand through your first year.
How do updates reach us?
There is nothing for the club to install or patch. New features arrive through the year at no extra cost. How updates and patching work.
Who runs Sports Club OS?
Adam Gough, who built it, and his business partner Simon Craft, who leads the rollout to clubs. Meet the team.
