How AS Gough Pty Ltd, trading as Sports Club OS, handles personal information on this website and in the club system.
Who we are
Sports Club OS is a trading name of AS Gough Pty Ltd, Melbourne, Australia. We handle personal information under the Australian Privacy Principles in the Privacy Act 1988.
This website
This website’s forms send what you type to Sports Club OS by email, and we keep it to reply to your enquiry. The website uses no advertising tools. How it counts visits is set out under Website analytics.
When you write to us, by a form or by email, we receive what you write: usually your name, your email address or phone number, your club and your message. We use it to reply, to arrange a walkthrough or to set up a free tool, and keep it while we are in contact with you.
Website analytics
This website uses PostHog, an analytics service, to count visits and see how its pages are used: which pages are read, which links and buttons are pressed, how quickly pages load and where visitors came from. PostHog sets a cookie on sportsclubos.net itself (a first-party cookie), so that visits from the same browser can be counted together.
Visits may be recorded as a replay of the pages: what was shown on the screen, scrolled and pressed. Everything typed into a form is hidden in these recordings, and the words searched for in the Help centre are not recorded.
The names, email addresses and messages typed into this website’s forms are not sent to PostHog.
This website analytics data is stored by PostHog in the United States. It is about visits to this website only. The clubs’ own data in Sports Club OS is not sent to PostHog, and stays in Australia (see the Trust Centre).
To stop your browser being counted, open any page of this website with ?notrack=1 at the end of its address, for example sportsclubos.net/?notrack=1; ?track=1 turns it back on. Blocking cookies for this website, or a browser that sends Do Not Track or Global Privacy Control, also stops it.
Clubs that use Sports Club OS
When a club uses Sports Club OS, the club decides what information it keeps about its members, staff and others, and why. We hold and process that information on the club’s behalf, to run the system for the club. The one other thing we receive is feedback: when someone saves feedback through Help and feedback in the club system, a summary is emailed to us so we can improve Sports Club OS. It holds the summary, the page and the person’s roles, never their name, email address or the conversation.
How it is kept, who can see it and where it is stored are set out in the Trust Centre. In short: it is kept in Australia on Amazon Web Services in Sydney, each person sees only what their role allows, and members’ details are never sent to the email and website assistants. The AI Report Assistant reads club data, read-only, and only for people whose role already lets them see it.
The club decides what is kept and why; we process it on the club’s behalf. Read the Trust Centre’s Privacy laws and standards.
If you are a member of a club and have a question about your details, ask your club first. You can also write to us.
Sharing
We do not sell personal information or share it for marketing. We use Amazon Web Services to host the system; the companies we use and what each does are listed in the Trust Centre. This website also uses PostHog, as set out under Website analytics. We would disclose information if the law required it.
Seeing and correcting your information
You can ask to see the personal information we hold about you, and ask us to correct it. Email hello@sportsclubos.net. Members of a club can see and correct their own details in the club system, and choose which emails they receive.
Questions and complaints
Email hello@sportsclubos.net. If you are not satisfied with our answer, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
