SOFTWARE FOR SQUASH CLUBS

Squash Club
Management
Software

Sports Club OS is squash club management software for member clubs: court bookings, ladders and box leagues scored live, squads and coaching, and the clubhouse around them, in one system — powered by AI.

Built at a member club in Melbourne with squash courts, by one of its members.

ONE SYSTEM FOR THE WHOLE SQUASH CLUB
Courts · Competitions · Coaching · Members · Clubhouse

WHY SPORTS CLUB OS

Everything you need to run your squash club, end to end.

01

Fully run and managed for you.

Nothing to install. Members book squash courts from any phone or browser.

02

Competitions your conveners can run.

Ladders, box leagues and club championships, scored from a phone and shown on the clubhouse TV.

03

Squads and coaching on the same courts.

A class holds its court, so members can’t book over a squad session.

04

A low, fixed monthly cost.

No hidden fees, and no percentage of your revenue.

05

Built at a club with squash courts.

Designed from the ground up for how a member squash club really runs.

06

The clubhouse as well.

The bar till, functions, staff rosters, and GST and the BAS for the treasurer.

Full membership management

Every member and family in one place, from the day they apply to the day they renew. The office raises renewals in one go and sees who owes what, and members see their own membership, bookings and invoices on their phone.

  • Joining online.People apply from your website and see the fees for their category. Their proposer confirms by email, the committee elects them, and the member records and first invoice are made.
  • Renewals in one go.Raise every renewal invoice at once, or have them raised automatically for members on auto renew, a set number of days before their membership ends.
  • Yearly or monthly.Members can pay monthly, and each month shows as paid, due or not paid.
  • Who owes what.Every unpaid invoice, how late it is, and the total owed.
The Renewals page: members whose membership ends in the next 30 days, five of them ticked
Expiring in 30 days, and the button Raise 5 invoices, $3,500.00
Joining on a phone: a family of four, each person’s fees, and about $3,480 for the first year
02

Full member portal and website included

Every member gets their own portal at your club’s address, and the club gets its own website, both included in the price. The office changes the website by clicking on it or by asking AI, and nothing goes live until it is approved.

  • A portal for every member.Members see their membership, book courts and classes, follow their matches and the club rankings, see their invoices and choose which emails they get, from any phone. There is no app to download.
  • Your club’s own website.A page for squash and every part of the club, with the squash sessions, the join form and function enquiries live from the club system.
  • Changed by clicking or by asking.Type over the words on a page, swap a picture, or ask the AI for a change, on a private draft.
  • Checked before it goes live.An approver sees exactly what changed before it is published, and an earlier version can be put back.
Editing a draft of the club’s website in place: a paragraph chosen, with Bold, Italic, Link and Done, under DRAFT v6, not public
A member’s portal on a phone: an Adult membership, Active, renewing 31 July 2027, a squash court booked for Wednesday, and Make booking
My classes on a parent’s phone: Jack booked into Green ball tennis on Saturday, and Lily and Jack into Junior squash on Sunday with Hana, each with Cancel
Club rankings on a phone, squash chosen: each player’s place and club rating, Rebecca Garcia first on 1614
Email preferences on a phone: essential notices always sent, and Yes or No for club news, events and social, and competitions and coaching

Leagues, comps, ladders and tournaments

Your conveners run every squash competition from a phone. Players enter their own results, the boxes, ladders and draws follow from the scores, and live scores go up on the clubhouse TV.

  • Box leagues.Boxes are set from the club ratings. Closing a round moves players up and down and draws the next round’s matches.
  • Ladders.Players challenge up to a set number of places above them. Win, and take the place.
  • Club championships.Every grade in one event, knockout draws with a plate, and an order of play across your courts.
  • Live scoring.Point-a-rally or hand-out, with lets, strokes and conduct calls. The court’s TV and the draw follow each rally.
The squash A grade draw on the clubhouse TV, with both semi-finals in play on courts 1 and 3
Box 1 of a squash box league in round 2, with J. Okafor’s 3–0 win just entered and each player’s points
New competition: squash, singles, Knockout tournament chosen from Ladder, Box league, Round robin and Knockout, and the draw it makes for 12 players: a draw of 16, 4 byes to the top seeds, 4 rounds, 11 matches and 3 in the plate
The marker’s phone: Fleming 3, Garcia 1 in the first game, with Stroke to Fleming, Let and Stroke to Garcia

Coaching and squads

Squads, junior programmes and beginner courses on one timetable that members book, parents enrol from and visitors see on your website. Each session holds its court, full squads keep a waitlist, and the coach takes the roll on a phone.

  • Courts held for every session.Members can’t book over a squad, and clashes are caught before a class is saved.
  • Waitlists that offer the place. When a place comes up, the next person is offered it until a set time, then the next.
  • Terms for families.Parents enrol several children at once, with a family discount and one invoice.
  • The roll on the coach’s phone. Each player’s age, any medical note and the emergency contact.
Squash squad: Beginners, Saturday 9am on squash courts 1 and 2: seven of eight booked, and Arlo Prescott, first on the waitlist, offered the place until 11:14am
Squash on the club’s What’s On page: 3 sessions this week
The roll for Squash squad: Beginners on the coach’s phone: eight booked and three here, with a medical note marked

Court management and booking

A squash court booking system members use from their phone: they book, move and cancel their own courts under your rules, and a court can never be booked twice. The office sees every court, squad and competition night on one calendar.

  • Your rules, applied as they book. How far ahead, how long, how many a week, peak times, and which memberships may book squash.
  • Guests and guest fees.Added to the booking, with the fee shown before it is made.
  • Pennant, squads and closures.Regular nights repeat each week. Close a court for a lighting repair and see the bookings it affects.
  • Walk-ins at the bar.A casual court sold at the till goes straight onto the calendar.
The office’s squash calendar for Wednesday 21 October: James Okafor with a guest, Learn squash in six weeks, and the Wednesday night squash comp, every week
The bar till: a squash court, 45 minutes, on squash 2 from 6:30pm to 7:15pm, $12.00, on James Okafor’s sale
A member confirming Squash 1 from 5:30pm to 7pm on a phone, with one adult guest at $20.00

Integration with SquashLevels

SquashLevels rates players from the results of the matches they play. Sports Club OS keeps every game’s score of every match, so the club’s results are ready to go to it.

  • Every game’s score. Each game’s points, not just who won, with the date and the competition.
  • A results file today.A convener downloads the club’s singles results as a file for a rating service.
  • A club rating for squash.Every result moves each player’s club rating, which seeds the draws and sets the boxes.
ON ITS WAY

A direct link that sends results to SquashLevels automatically is planned. It needs SquashLevels to accept Sports Club OS as a results provider.

My matches: a squash club rating of 1524, matches to play, and recent results with every game’s score and the change in rating

Volunteer and staff management and rostering

Roster bar and event staff from the availability they give you, and each person answers their shifts from an email or text. Volunteers who run competitions or coach get a role that shows them their part and nothing else.

  • Rostered around availability. As you build the week, staff show as available, already on the shift or not available, with the reason.
  • Answered by email or text.Publishing sends each person their shifts with a yes or no link, and the roster shows who has answered.
  • Hours for payroll.Staff report their hours, the manager approves them, and the period downloads for payroll.
  • Roles for volunteers.Give a convener or coach a role, and take it away when they step down.
Building the roster: five staff available, two already on the slot and three not available, each with the reason, beside the bar’s evening shifts
Copied: 10am – 6pm, 2 people, and Liam Doyle: Not available that day
My shifts on a phone: Saturday 17 October at the bar, with Yes, I’ll be there and I can’t do it

Squash beside tennis, padel or snooker?

Each sport has its own courts, opening hours and booking grid, and its own tab on the calendar and the court board. Each membership says which sports it includes.

    QUESTIONS

    Common questions
    from squash clubs

Is it only a squash court booking system?

No. Court booking is one part. The same squash club management system runs membership and renewals, ladders, box leagues and tournaments, coaching, the bar till, functions, staff rosters and the club’s finance, with one member list.

Can members book squash courts from their phone?

Yes. Sports Club OS is a web page at the club’s own address, so there is no app to download. Members book, move and cancel their own courts under the club’s rules.

Which squash scoring does it use?

The World Squash Singles Rules 2025 by default: point-a-rally to 11, best of five or three games, won by two clear points at 10-all. The club can offer older and local rules as options, such as point-a-rally to 15, hand-in hand-out to 9, players choosing at 10-all, 90-second breaks and two serves, and each competition copies the club’s rules when it is made. A player who retires keeps the score as played, unless the club chooses to award the remaining points.

    Does it run our pennant?

No. Keep your association’s system for pennant and registrations. Pennant nights go on the court calendar as weekly club bookings, so members can’t book over them.

Is there a free squash scorer?

Yes. The free match scorer scores squash, singles or doubles, on any phone in the browser, with no account, by the World Squash rules, and lets others watch with a code. Try the free match scorer.

    Does it connect to SquashLevels?

Not yet. The club’s results can be downloaded as a file to send to a rating service, and each sport has its own club rating inside Sports Club OS.

Can we run squash and tennis on it?

Yes. Each sport has its own courts, opening hours and booking grid, and its own tab on the calendar and the court board, and each membership says which sports it includes. How far ahead members can book, the longest booking and the peak times are one set of rules for the whole club.

Can visitors pay for a court?

Yes, at the desk or the bar till. The court goes onto the calendar like any other booking.

Can members pay by card online?

Not yet. Card payments are being built. Today invoices are paid by bank transfer or at the club, and the club records the payment.

    What does it cost?

Every plan has every feature, priced by the number of members, from A$215 a month + GST for up to 300 members. See the plans.
