Overview
What Admin holds
The Admin section of the menu: logins and roles, what each role may do, the club's settings, feedback, downloading all the club's data, and the audit log.
Who this is for: Anyone with “Users and roles” or “Roles and permissions” or “Club settings” or “Audit log” or “Download all the club's data” or “Read everyone's feedback” or “Use Help and feedback” (by default: Administrator, Head Coach, Casual Staff).
Admin is the part of Sports Club OS where the club looks after Sports Club OS itself: who can sign in, what each role may do, the club's settings, the feedback people leave, a download of everything the club holds, and the record of who changed what. It holds nothing about the day-to-day running of the club; that is in the Club section and the others.
Who uses it
The Administrator, mostly. By default:
- Users and Roles & permissions are for the Administrator. Only the Administrator can change what roles may do, and give or take away the Administrator role.
- Settings is for the Administrator. Someone who runs functions, classes or tag rules sees only their own tab of it (Functions, Classes or Tag rules).
- Feedback and Export data are for the Administrator alone, and the club cannot give them to another role.
- Audit log is for the Administrator, the Head Coach and Casual Staff.
Your club can change most of this on Roles & permissions. The Admin section shows only the pages you may open, so someone else's menu may hold more or less.
The pages
| Page | What it is for |
|---|---|
| Everyone with a Sports Club OS login: make a login, give and take away roles, link a login to a member record, disable a login. Each person has a page of their own. | |
| A table of what each role may do. The Administrator ticks and unticks boxes and saves. | |
| The club's set-up in tabs: club details, booking rules, sports and courts, membership types, the price list, invoice reminders, tags and fields, communications, reports, functions, classes and tag rules. | |
| What people saved through the Help and feedback button, with each whole conversation, and the button's limits. | |
| One button that downloads everything Sports Club OS holds for the club, as spreadsheets and complete copies, in one file. | |
| Who changed what, and when: the latest 300 entries, newest first. |
The words it uses
- Login or user: someone who can sign in. Most members have no login and are on the member list all the same.
- Role: a job at the club, such as Bar Staff or Treasurer. A person can hold several and can do whatever any of them allows.
- Permission: one thing a role allows, such as "See members and contacts". A role is a set of permissions.
- Member: not a role. A login is a member's when it is linked to their member record.
What it connects to
- A login linked to a member record gives that person their member pages, already approved. See Add, change and disable logins.
- Giving someone the Bar Staff role puts them on the bar and events roster the next time they open Sports Club OS.
- Settings feed every other part: membership types and fees into the member list, invoices and the join form; the price list into invoices; courts and booking rules into bookings; email categories into what members choose to receive.
What it does not do
- There is no deleting a login. A login is disabled instead, and can be enabled again.
- Sports Club OS logins are its own. There is no sign-in with Google or Microsoft, and no page that sets anyone's password: each person sets their own.
- The download of all the club's data is a file you keep. Sports Club OS does not send it anywhere, schedule it or restore from it.
