Questions
Why can't a member book that court?
The reasons Sports Club OS refuses a member's online booking, the words they see for each, and what the office can check or do.
Who this is for: Anyone with “Book courts for yourself” or “Make and change any booking” or “See all bookings” (by default: Administrator, Head Coach, Casual Staff, Reporting, Member).
Usually because the booking breaks one of the club's online booking rules, the member's membership is not current, or someone else has the court. On Make booking the box turns red and says why, in the words below. The office can still book the court for them on the calendar, because the online rules apply only to members booking for themselves.
Their membership is not current
A notice at the top of Make booking says, for example, Your membership is expired, so online booking is paused. Please renew or contact the club office. Online booking stays paused while their membership is expired, lapsed, suspended or cancelled. A member with no membership at all sees There is no membership on your account yet, so online booking isn't available.
Check: the member's status on their record under Members. Once the renewal is paid, or their status is Active again, they can book. A member who pays monthly and has missed a month is paused in the same way until it is paid.
They cannot see Make booking at all
Their login may not be linked to their member record yet, so Sports Club OS does not know they are a member. The office links a login to its member record on the login's page under .
The time breaks a booking rule
| What the member sees | Why |
|---|---|
| Bookings open 7 days ahead. | The day is further ahead than the club allows. Days beyond it cannot be chosen on Make booking. |
| Bookings are limited to 90 minutes. | The booking is longer than the club's longest booking. |
| You have reached your limit of 3 bookings for that week. | They already hold the most bookings allowed in that week, Monday to Sunday: the club's limit, or their membership type's own. Cancelled bookings do not count. |
| Your membership is off-peak only (peak is 5pm–8pm). | Their membership type is marked off-peak only, and the time is in peak time on a peak day. |
| The courts are closed then. | The time is outside the sport's opening hours. |
| That time has already passed. | The start time is earlier than now. |
The numbers and times in the messages are the club's own. See Booking rules, sports and courts for where each is set.
Someone else has it, or it is closed
- "Squash 3 is taken 10am–11am." or "That time is already booked." Another booking has part of that time. The second message means someone booked it a moment before they pressed Save.
- "Closed:" and a reason. The court is closed then. See Close courts for an event or repairs.
A sport or court is missing
- A sport's tab is missing. Their membership type does not include that sport: Sports included on the type. Members see only the sports their type includes.
- A court is missing. It has been unticked as bookable on Sports & courts, so it is hidden from every calendar.
What the office can do
Book it for them on . The office's bookings are not limited by the online rules: only another booking or a closure stops one. See Make a booking for someone.
For anyone who can: “Club settings”
If the same rule keeps stopping members, change it on , Booking rules. A change applies to the next booking a member tries.
