How to
Decline an application, or record that the applicant withdrew
Record that the committee declined an application, with or without emailing the applicant, or that the applicant withdrew it.
Who this is for: Anyone with “Membership applications” (by default: Administrator).
When the committee does not accept an application, or the applicant says they no longer want to join, record it so the application leaves the To decide list. No member record is made either way.
Before you start
Recording decisions is for the Administrator.
Decline an application
- Open and press the application.
- Under The committee's decision, leave If declined, email the applicant ticked to tell them, or untick it to tell them yourself.
- Press Declined. Sports Club OS asks Record that the committee declined this application? The applicant will be emailed. (without the second sentence if the box is unticked).
- Press OK. A message says Declined, and the application moves to the Declined or withdrawn tab.
The email to the applicant is headed Your membership application. It thanks them, says the committee is not able to offer membership at this time, and asks them to contact the club if they would like to talk about it. It gives no reason.
Record that the applicant withdrew
- Open the application.
- Press Applicant withdrew. Sports Club OS asks Record that the applicant withdrew?
- Press OK. A message says Withdrawn. Nobody is emailed.
After a decision
- The application is kept, with its history, on the Declined or withdrawn tab.
- A decision cannot be changed from the page. If the applicant tries again, they send a new application.
- If someone else recorded a decision at the same moment, you are told This application is already decided. and nothing more is done.
