Overview
What Reports does
The club's figures: Committee reports, your own Dashboard of widgets, report pages to keep, print and share, and the AI Report Assistant.
Who this is for: Anyone with “Committee reports” or “Build reports” or “Figures from every area” or “Share report pages” or “Download report figures” or “AI Report Assistant” (by default: Administrator, Head Coach, Casual Staff, Sports Convener, Reporting, Treasurer).
Reports turns what Sports Club OS already records (members, payments, invoices, bookings, classes, functions, the roster, hours, emails and competitions) into figures and charts. Nothing is typed in for a report: every figure is worked out from the records each time it is shown. Reports only read. Nothing on a report page, a widget or Committee reports changes anything in the club.
Each person sees only the figures their own roles allow. Two people looking at the same report page can see different things, on purpose.
Who uses it
- The committee and anyone who reads the club's figures use Committee reports and report pages shared with them. The Administrator, Head Coach, Casual Staff, Reporting and Treasurer roles can open Committee reports by default.
- People who build reports make their own widgets and report pages from the club's figures. The Administrator, Reporting and Sports Convener roles can by default. A Sports Convener is offered only the competitions figures.
- Everyone with a Dashboard chooses their own widgets on it. Office staff, managers and conveners land on it when they sign in.
- The AI Report Assistant is for the Administrator and Reporting roles by default, while the club has it switched on.
The Reporting role is made for people who read the club's figures and change nothing: it can see members, bookings, invoices, functions, till sales and the figures of every area, build, share and download reports, and use the assistant. Your club can change what each role may do on Roles & permissions.

The words it uses
- Widget: one box of figures, with a large figure, a small chart in its corner, and more when it is opened out. Widgets sit on the Dashboard and on report pages.
- Ready-made report: a widget the club's figures already have, such as Members by age or Owed to the club, by how late, added with one press.
- What to count: the figure a widget is about, for example Income received, Court bookings or Class fill. There are figures for membership, income, invoices, courts, classes, competitions, functions, the roster, hours worked and communications.
- Group by: how a figure is split, for example by membership type, by month or by sport.
- Period: the days a figure covers, such as This month or This financial year, and what it is compared with.
- Members: current members and those awaiting renewal, everywhere a figure is called "Members". Suspended, lapsed and cancelled people are counted only by a figure that says so, such as People with a membership record.
- The rows behind a figure: the payments, bookings or people a figure was counted from, listed when you press it.
- "<5": a group of fewer than five people, hidden from someone who cannot open the member list. See Why some figures show "<5".
What it connects to
- Members, invoices, bookings and the rest: every figure is read from them as they are now, or for a day in the past from that day's member count.
- Income is the money recorded in Sports Club OS: invoice payments, till sales, and payments brought in from the club's previous system. Prepaid credit topped up at the till is money held for a household, not income, so it is not counted as income.
- Settings: the club's year decides what "this year" and "last year" mean in every widget.
What it does not do
- It does not change anything, and nothing typed into a report changes a record.
- It does not email reports. Print a page, save it as a PDF, or download it as a spreadsheet, and send that yourself.
- A member count for a day in the past exists only from the day Sports Club OS began keeping daily counts. Before that, a widget says so rather than showing nought.
- The Dashboard cannot be downloaded. To download a widget's figures, put it on a report page.
