Overview

What Classes does

One timetable for casual classes and term programs, with booking for a household, waitlists, passes, terms and the coach's roll on a phone.

Who this is for: Anyone with “Run classes” or “Book and take rolls for anyone” or “Take your own classes” or “Book classes for your household” (by default: Administrator, Head Coach, Casual Staff, Coach, Member).

Classes puts everything people join at the club on one timetable: Pilates and fitness classes, squash and tennis squads, clinics, courses, school holiday camps and junior programs that run for a term. Members book for themselves and their household, join a waitlist when a class is full, and enrol their children for a term. Coaches take the roll on a phone. The office sets up the classes, runs the terms and sees what needs attention.

Each class says who runs it: the club itself, or an outside coaching business based at the club. A session held on a court holds that court on the booking calendar, so nobody can book it from under the class.

Two kinds of class

  • A class booked one session at a time. Mat Pilates on a Monday morning, or a Saturday squad. A person books a session and can cancel it.
  • A program enrolled in all at once. A junior tennis group that runs for the term, a six-week course, or a three-day holiday camp. A parent enrols a child once, and the child is booked into every session that is left.

CoachesSee their own sessions, take the roll on a phone, add someone who turned up, message the people booked, cancel a session, set cover, move a child up a stageThe Coach role. A lead coach sees all of their business's sessions

VisitorsRead the public What's on page and ask for a place, with no sign-inAnyone

The Administrator can do everything the office can. Your club can change who can do what on Roles & permissions. A coach from an outside business sees, of the people on their own sessions, a name, an age for a child and any medical note, and nothing else about a member.

Where things are

  • Club > Classes > Timetable: the office timetable, with the things that need the office at the top. Terms, Messages, Change a week and New class are buttons on it, and The public page and Foyer screen are links above it.
  • Club > Classes > List: the same sessions as a table.
  • Club > Classes > Providers: the classes, passes, providers and coaches.
  • Reports > Class reports: how full each class has been, who came and who missed out.
  • Admin > Settings, Classes tab: how waitlists, late cancels, make-up credits, terms and visitors work.
  • Me > Classes and Me > My classes: a member's timetable and their household's bookings. Enrol for a term is a tab on both. A member's Home also has Book a class.
  • Me > Staff portal > My sessions: a coach's own sessions. Each one opens its roll, made for a phone.
  • The public What's on page and the foyer screen need no sign-in. The foyer screen can also be put on one of the club's TVs as Classes today.

What it connects to

  • Members and households. The people in classes are the club's members and contacts, and a parent books for the people in their household. Someone who is not a member asks for a place from the public page and pays at the club.
  • Bookings. A session at a court holds the court on the booking calendar. If a court cannot be held, the office timetable says so.
  • Invoices. A fee on a member's account goes on one invoice a household a month. Term fees are invoiced by term from the Terms page. Where an outside business collects its own money, nothing is invoiced.
  • Email. Sports Club OS emails people about their own bookings: booked, cancelled, offered a place, a session called off. Reminders and a coach's notes follow each person's email preferences.
  • TVs and the website. The foyer screen shows today's classes. If the club's website is kept in Sports Club OS, its What's on page shows the same timetable.

What it does not do

A new club starts with no classes. Load the starting timetable, on the empty timetable, puts in sample classes with made-up coaches so every page has something on it. Clear the starting timetable, on the Classes tab of Settings, takes them out again.
