Quick start

The treasurer's month

For the treasurer: record payments, reconcile the bank account, check what is owing, then the BAS worksheet and the export to the club's accounts.

Who this is for: Anyone with “Reconcile the bank account” or “See bank statements and the reconciliation” or “See the finance figures” or “GST codes, price entry and accounts” or “Export income to the accounts” or “See all invoices and payments” or “Raise invoices and record payments” or “See sales and till sessions” (by default: Administrator, Head Coach, Casual Staff, Bar Manager, Reporting, Treasurer).

As treasurer you check that the money Sports Club OS records reaches the bank, keep track of what is owed to the club, and give the club's accountant what they need: GST for the BAS and the month's income for the accounts. The Treasurer role does all of this by default. It can see invoices, till sessions and functions, record invoice payments, and read and download reports. It does not see the member list.

Where things are

When you sign in, Sports Club OS opens your Dashboard. Your work is in two sections of the menu:

In the menuWhat it is for
Club > Invoices > All invoicesEvery invoice, and recording payments against them
Club > Invoices > Unpaid invoicesWhat is still owing, by how late
Finance > Bank reconciliationThe bank statement matched to the money recorded
Finance > Finance overviewThis year against last, and invoiced against received
Finance > GST and BASThe BAS worksheet for each period
Finance > Income in advanceMembership paid for time still to come
Finance > Member and visitor incomeIncome from members, guests and visitors, for the accountant
Finance > Export to the accountsThe month's income to key in, and the accountant's spreadsheet
Finance > GST and pricesGST codes, and whether prices are entered including GST
POS > Sales and Till sessionsThe till's sales and each session's cash
Reports > Committee reportsThe club's standing figures

Every week or so: record payments

When money for an invoice reaches the bank, record it on the invoice: open Club > Invoices > All invoices, open the invoice and record the payment, in full or in part. The invoice then shows as paid, and a renewal moves the member's expiry on. See Record a payment.

To charge someone for something Sports Club OS does not invoice by itself, press New invoice on the same page. Under Bill to, type two or more letters of their name, member number or email and choose them. See Raise an invoice.

Every month: reconcile the bank

  1. Download the month's statement from your bank as a CSV file.
  2. On Finance > Bank reconciliation, import it. See Import a bank statement.
  3. Match each bank line to the payment or till takings Sports Club OS recorded, using the suggestions, and explain the rest (spending, bank fees, transfers). See Match and explain bank lines.
  4. Reconcile to the last day of the month. Sports Club OS checks every line is accounted for and the balance agrees with the statement, then locks the month. See Reconcile to a date, and reopen it.

Reconciliation never changes a payment. A payment that reached the bank but was not recorded is recorded on its invoice first, then matched.

Every month: check what is owing

Club > Invoices > Unpaid invoices lists every invoice with something owing, with what is not yet due, due today and overdue. See See what is still owing.

Every month: export the income

On Finance > Export to the accounts, choose the month and download the monthly summary to key into your accounts, or the accountant's spreadsheet. Each account and GST code is mapped once. See Export a month's income to your accounts.

Every quarter: the BAS

On Finance > GST and BAS, choose the period. The worksheet gives the figures for G1, 1A and the GST-free sales, and what is estimated. Lodge the BAS yourself with the ATO, then mark the period lodged in Sports Club OS so its figures are kept. See Use the BAS worksheet and How GST is worked out, and how prices are entered.
