How to
Welcome a function on the club's TVs
Switch a function on for the club's screens and create a welcome display for it, what the TVs show and never show, and the foyer screen of the day's functions.
Who this is for: Anyone with “Run functions” or “Make and change displays” or “See functions and enquiries” (by default: Administrator, Head Coach, Casual Staff, Bar Manager, Sports Convener, Functions, Reporting, Treasurer).
A function can be welcomed on the club's TVs on its day: its name, occasion, rooms and times. It is off for every function until the office switches it on, because a function's name and occasion are the hirer's business. The TVs never show an amount, the hirer, guest numbers or dietary notes.
Before you start
- To switch a function on or off, you need to be able to run functions. The Functions role and the Administrator can by default.
- To create its screen, you also need to be able to make and change displays. The Functions role has both by default. Someone who can only run functions sees the card's list and switch, and the line "Someone who makes the club's displays can create a screen for this event."
Create a screen for a function
- Open the function. On the left, the Club screens card says Not shown: "A screen welcomes its guests on the club's TVs on its day: its name, occasion, rooms and times. Never the hirer, prices, numbers or dietary notes."
- Press Create screen for this event. The function is switched on for the screens, and a new display named, for example, Welcome: Pemberton birthday is made from the ready-made Function welcome, and opens in the display editor.
- In the editor, check each slide. Set the name on the screen and a line of welcome beside the welcome slide, and fill in or remove anything in [square brackets]. See A function welcome slide.
- Put the display on a TV under . See Set up a TV and choose what it shows.
Back on the function, the card says On the screens, for example "Shown on the club's screens on Saturday 21 November 2026." It lists each display that names the function, with Open, and has Create another and Stop showing on screens.
When it shows
- A TV shows the welcome on the function's day only.
- Only once the function is Confirmed (or Completed). Until then the card says "Shown on the club's screens …, once it is confirmed."
- Never for a lost or cancelled function: Create screen for this event is not offered for one.
Stop showing it
Press Stop showing on screens. A message says No longer shown on the club's screens. The displays stay, and pass over its welcome until you press Show on screens again.
The foyer screen
Foyer screen on the function board opens a page for a TV in the foyer: today's functions by room, with their times and which courts are closed, and the rest of the week. It names no function: each shows only its kind of occasion, such as Private function, Corporate function or Presentation night, so it needs no switching on. A TV can be given it from Displays as Today at the club.
