Questions

Why didn't a member get my email?

Most often the member was left out (their choice, a shared address, no address) or the email bounced or went to junk. The message's results say which.

Who this is for: Anyone with “Send communications” or “See members and contacts” (by default: Administrator, Head Coach, Casual Staff, Reporting).

The message's own page says what happened to every address and who was left out, so start there. Open the message from Club > Communications > Previous, or look at the member's page, where the Email preferences card lists the latest messages sent to their address.

These are the reasons, most likely first.

They share an address with someone who got it

A message goes once to each email address. If the member shares an address with their household, one copy went to that address in the name of the head of the household, and the member is listed under Left out when it was sent as Share an address with someone who is getting it. Ask them to look for an email addressed to the other person.

The email is in their junk or spam folder

If Each address shows Delivered, their mail server accepted it. Ask them to look in their junk or spam folder, and to add the club's address to their contacts.

They chose not to get that kind of email

Under Left out when it was sent, Chose not to get this kind of email lists people who switched that kind off. Their Email preferences card shows No beside it. Only the member can change this, or the office when the member asks. Essential notices are not affected by this choice.

They were never asked, and the message left them out

If the sender chose Leave them out. for people never asked, they are listed under Never asked, and you chose to leave them out. They are asked the first time they sign in.

They were not in who it went to

If the member is in neither list, they were not chosen at the Who step: for example, the message went to Active members and theirs is Expired, or they lack a tag the message used. The list was worked out at the moment of sending, so someone who joined or was changed afterwards is not on it.

There is no email address on their record

They are listed under No email address, and their Email preferences card says No email address on file, so nothing can be sent. Add an address to their details.

The email bounced, failed or was not delivered

Each address with Only problems chosen shows these, with the reason the mail server gave beside the address:

  • Bounced: the address does not exist. Check it with the member and correct it. Sending to that address has stopped; see An email address is marked blocked.
  • Not delivered: a passing problem, such as a full mailbox. The next message is tried as usual.
  • Failed: it could not be sent. Copy the message, and at the copy's Who step clear the other choices and add that member alone.

Their address has stopped working

Listed under Their address has stopped working: an earlier email bounced, or they marked one as spam, so nothing is sent to the address, essential notices included. See An email address is marked blocked.

They unsubscribed, or the message was stopped

  • Skipped beside the address: they unsubscribed, or the address stopped working, between your pressing Send and their email going.
  • Stopped: the message was stopped before their email went.

The address is a placeholder

Addresses of the kind used as placeholders, such as ones ending @example.com, are listed under A test address, never sent to. Put the member's real address on their record.
