Overview

What Finance does

The treasurer's figures: GST codes and how prices are entered, the BAS worksheet, income in advance, this year against last, and the export to the accounts.

Who this is for: Anyone with “See the finance figures” or “GST codes, price entry and accounts” or “Export income to the accounts” (by default: Administrator, Treasurer).

Finance gives the treasurer and the club's accountant the figures they need from the money Sports Club OS records: which charges have GST in them, the sales side of the BAS, membership income received in advance, this year against last, and each month's income to put into the club's accounts. Every figure is worked out from invoices, payments and till sales already recorded. Finance changes no invoice and no payment.

Who uses it

  • The treasurer sees every figure, sets the GST codes, how prices are entered, the BAS settings and the club's accounts, marks BAS periods lodged, and exports each month. The Treasurer and Administrator roles can by default.
  • Seeing the figures, changing the settings, and exporting are three separate permissions, so the club can let someone see the figures without changing anything.

Your club can change who does what on Roles & permissions.

The words it uses

  • GST code: what a charge is for GST: Taxable (10% GST), GST-free, Input-taxed, or Not a sale (no GST).
  • Including GST and excluding GST: every amount Sports Club OS keeps includes its GST. Figures "excluding GST" take the GST off, as the accounts show income.
  • Cash basis and accrual basis: whether GST falls when money is received, or when an invoice is issued.
  • Estimated: GST worked out as 1/11 because the record does not say. That is money imported from the system the club used before, and till sales made before GST codes were kept.
  • Income received in advance: money received for membership days still to come.
  • The club's year: the financial year, starting on the day the club sets for its reports (1 July unless it changes it).

Where the figures come from

Every figure is worked out from the same records, in the same way:

  • Money received is every payment recorded on an invoice and every payment taken at the till. Prepaid credit topped up at the till is money held for a household, not a sale, until it is spent.
  • Invoiced is every issued or paid invoice, on the day it was issued (or first paid, if that was earlier), and the till's own sales. Drafts and voided invoices are left out. Bar charges to a member's account and a function's bar tab are counted once, through the invoice they end up on.

So the BAS worksheet, income in advance, the overview and the export always agree with each other and with the invoices.

What it does not do

  • Sports Club OS lodges nothing with the ATO. The BAS worksheet gives the figures; the treasurer or the accountant checks them and lodges.
  • It holds no purchases, so GST on purchases (1B) and expenses are not here.
  • It is not the club's accounts. It gives a summary to key into them.
