Setting up
Set up classes and coaching
Before the first class: providers and who collects the fees, coaches and their checks, classes and prices, passes, terms, and the waitlist and make-up rules.
Who this is for: Anyone with “Run classes” (by default: Administrator, Head Coach).
Classes covers group coaching, fitness classes, junior programs and camps: the timetable, booking, waitlists, passes, terms and the coach's roll. Before the first class, set up who runs each class, the coaches, the classes themselves, any passes and terms, and the rules for waitlists and make-ups. This article is the order to do them in, and links to the article that explains each.
Before you start
- Setting up classes is for the Head Coach and the Administrator by default.
- Have to hand: each business or team that runs classes (the club's own staff, an outside coaching business), each coach with their Working with Children Check, and each class with its days, times, place and prices.
- Set up the courts first, if classes are held on them: Set up courts, tables and booking rules. A class on a court holds it with a booking, so members cannot book it.
The starting timetable
A new club's Classes are empty. Load the starting timetable puts in a set of made-up classes, coaches, providers and passes to try Sports Club OS with. Clear them again before members use it: on , Classes, under The starting timetable, press Clear it, then Press again to clear it. Anything the club has added itself stays.
1. Providers
Open and press Providers. A provider is whoever runs classes: The club itself, or an outside business. Press New provider, type its Name and A few words members will read, then for an outside business choose who collects the money:
- The club: the fee goes on the member's account, and the club settles with the business.
- The business (shown by its own name): Sports Club OS takes the booking and shows the price; the member pays the business.
See Providers, coaches and who collects the fees.
2. Coaches
Press Coaches, then New coach: their Name, who they Work for, whether they are a Lead coach, their Email address and A few words members will read. Then type each coach's Working with Children Check number and expiry date in their row. The list shows each check's expiry, and how many junior sessions each coach has in the next two weeks.
To give a coach a login, press Invite in their row, then press it again. The invitation gives the login the Coach role and ties it to the coach by the email address. You do not need the Users page for this.
3. Classes
Press Classes for the list, or New class on : what it is called and what it is, who runs it, when and where, its prices (a session, a term, a pass), and who can see it. See Make a class.
4. Passes and terms
- Passes: press Passes, then New pass: its name, sessions, price and the days to use it in, then tick the classes that take it. See Passes, credits and make-ups.
- Terms: on the timetable, press Terms for term programs and their dates. See Terms and enrolment.
5. The rules
On , Classes. Each change is saved as soon as it is made. Each one's range and what it does are in Classes settings:
- When a place comes up in a full class: Offer the place and hold it (for 2 hours to start with), or Add the next person automatically; and Stop offering this long before the start (1 hour to start with).
- Cancelling late: whether A late cancel uses the session.
- Make-up credits for term programs: when a session is cancelled for weather, when the coach is away, when a parent says ahead that a child is away (24 hours ahead to start with), and how many days a credit lasts.
- Terms: the Family discount, per cent, and the Days current students have to re-enrol first.
- Visitors: the Minutes a visitor has to confirm a place they asked for on the public page.
