How to
Download figures and the rows behind them
Save a report page's figures, and the records behind each figure, as a spreadsheet file. Every download is recorded in the audit log.
Who this is for: Anyone with “Download report figures” or “Committee reports” or “Build reports” (by default: Administrator, Head Coach, Casual Staff, Sports Convener, Reporting, Treasurer).
A report page can be downloaded as a spreadsheet file (CSV), which Excel, Numbers or Google Sheets opens: every widget's figures, and the rows behind each figure if you want them. Downloading is for the Administrator, Reporting and Treasurer roles by default; your club can change this on Roles & permissions. Anyone else can open the page and print it, but has no Download button.
Download a page
You can download any page you can open, including one shared with you.
- If you want every widget for one period, choose it in Show every widget for first. The download uses the periods shown on screen.
- Press Download. A panel opens headed Download as a spreadsheet.
- Leave Include the rows behind each figure ticked to have the rows (the payments, bookings, invoices or people each figure was counted from), or untick it for the figures only.
- Under each figure, untick the columns you do not want. Only the columns your roles let you see are offered. If none of the page's figures has rows you may see, the panel says None of this page's figures has rows you may see.
- Press Download. Your browser saves the file, named from the page's title and today's date.
The file holds the page's title, the day it was downloaded and by whom, then for each widget its title, its period and its figures as a table, and under it The rows behind it for each figure, up to 20,000 rows. A widget your roles do not let you see says so in place of its figures, and groups hidden as "<5" stay hidden.
A cell that starts with =, +, - or @ is written with an apostrophe in front, so a spreadsheet shows it as words and never runs it as a formula. Numbers stay numbers.
Each download writes one line in the audit log: who, when, the page's title, how many rows, and which kinds of figure and column were in it. No names and no figures from the file are recorded.
Other downloads
To download a single widget, put it on a report page first. The Dashboard has no download. Committee reports has its own Export CSV for its table of monthly income: see Committee reports. Like a report page's Download, it needs the download permission, and each use is written to the audit log. To take all of the club's data out, see Download all the club's data and Taking all of your club's data out. For a month's income for the accountant, see Export a month's income to your accounts.
