How to
Delete a member, and what is kept
Delete a person's record for good, for a duplicate or a mistake, and what stays afterwards. For someone who has left, set a status instead.
Who this is for: Anyone with “Add and change members” or “See members and contacts” (by default: Administrator, Head Coach, Casual Staff, Reporting).
Deleting takes a person's record off the member list for good. It cannot be undone. Use it for a record made by mistake or a duplicate. For someone who has left the club, set their status to Lapsed or Cancelled instead: their history, household and tags stay, they drop out of the current members, and the club's reports can count them as leavers. See Membership statuses, and what Expired means.
Before you start
- You need to be able to add and change members. The Administrator, Head Coach and Casual Staff roles can by default.
- If the person heads a household, link the others to their new head first, or unlink them. See Households: who pays for whom.
- For a duplicate, copy anything you need from it onto the record you are keeping first: Sports Club OS does not merge two records.
Delete one person
- Open the person's page and press Edit details.
- Press Delete at the bottom left of the side panel.
- Sports Club OS asks, for example, Delete Harriet Newmember permanently? Their bookings and invoices are kept.
- Press OK. A message says Deleted, and the record is gone from the list.
Delete several people
- Tick them on the member list.
- Press Delete in the bar.
- Sports Club OS asks, for example, Delete 3 records permanently? This can't be undone. If any of them are not shown by the current filters, it says how many and tells you to press Cancel and use Keep only those shown if you did not mean them.
- Press OK.
What is kept
- Bookings and invoices stay, with their payments, so the club's figures do not change.
- The record of the change: the person's leaving is counted in the club's membership reports, and the deletion is in the audit log with who did it and when.
What goes
- The record itself: details, membership, tags, notes and household links.
- Their login's link to the record. A login they had is no longer tied to a member, so they lose their member pages. The login itself is still on , to remove there if it should go.
