Overview

What Bookings does

The club's courts and tables: the office calendar, the booking list, closures, members booking online, guest fees and the foyer court board.

Who this is for: Anyone with “See all bookings” or “Make and change any booking” or “Book courts for yourself” (by default: Administrator, Head Coach, Casual Staff, Reporting, Member).

Bookings keeps every court and table the club hires out: squash and tennis courts, snooker tables, or whatever sports your club has set up. Each court or table can be booked for one person or group at a time, in quarter-hours. Two people can never book the same court at the same time: the second is refused, however close together they press. The office books for anyone, members book for themselves online, and a board in the foyer shows the day.

Who uses it

  • The club office makes, moves and cancels bookings for anyone, sets up weekly bookings and closes courts. The Administrator, Head Coach and Casual Staff roles can by default.
  • Committee members and others who read the figures can see every booking without changing them. The Reporting role can by default.
  • Members book, change and cancel their own courts online, under the club's booking rules. Every member with a login can.

Your club can change who does what on Roles & permissions.

The words it uses

  • Booking type: what a booking is for, shown by its colour on the calendar: Member booking, Public / non-member, Club booking, Coaching, Competition, Junior program or Maintenance.
  • Booked for: the member the booking is for. A booking with no member has a Description instead, such as "Pennant practice".
  • Web and Staff: whether a member booked it online or the office made it. On the calendar an online booking says portal.
  • Weekly: one of a run of bookings made with Repeat weekly.
  • Closure: a time when a court or table is out of use. Closed times cannot be booked.
  • Guests: non-members playing with a member. Each adds a guest fee to the booking.

What it connects to

  • Members: a booking is for a member on the member list. Online booking is open only while a member's membership is current.
  • Classes: a class held on a court books that court for the session, as a Coaching booking.
  • The till: court or table time sold at the till is a real booking. Guest fees from the day's bookings are listed on the till under Owing today, to be paid there. See Sell court time and take guest fees at the till.
  • Functions: a confirmed function that uses courts closes them for its time.
  • TVs and displays: each sport's court board can be put on any of the club's TVs. See Set up a TV and choose what it shows.
  • Reports: bookings and court use are counted in the reports and on the Dashboard.

What it does not do

  • A closure does not cancel bookings already made in its time. It lists them, for the office to move or cancel.
  • A booking cannot be moved to another day. Cancel it and book the new day.
  • Nothing is emailed or texted about a booking: no confirmation, reminder or notice of a closure.
