How to
Cancel a shift, or discard changes
Delete a shift or slot, keep a published one waiting as a cancellation, and put a week or a day back to what was last published.
Who this is for: Anyone with “Run the bar and events roster” (by default: Administrator, Bar Manager).
Deleting a shift never messages anyone straight away. A draft is deleted. A shift you have already published waits, struck through, as a cancellation, and the person is told in their one message when you next publish. Until then you can keep it, or put the whole week back as it was published with Discard changes.
Before you start
You need to be able to run the bar and events roster. The Bar Manager and the Administrator can by default.
Delete a shift
- Right-click the shift, or press its …, and choose Delete shift. You can also press Delete shift in its panel.
- What happens depends on the shift:
- A draft is deleted. A message says Shift deleted., with Undo.
- A published shift stays on the roster, greyed and struck through, and says Cancelled: press Publish to send. A message says, for example, Grace Ito's shift cancelled. They'll be told when you publish., with Undo.
A cancelled shift is no longer part of its slot, on offer to other staff, counted in the week's figures, reminded about, or clashed with. The person still sees it on My shifts until you publish.
Keep a cancelled shift
Right-click it and choose Keep this shift. It goes back to being published, as it was. A cancelled shift cannot be changed in any other way until it is kept.
Send the cancellation
Press Publish 1 change (the number counts the cancellation). The publish dialog lists it as Cancelled under the person. Publishing removes it, and tells whoever had been told of it, in their message for the week, under Cancelled. No text or email goes out when you delete the shift, whatever the text wording list on the Communications tab says: see How staff are told: email, text and My shifts. See also Publish the week's roster.
Delete a slot, or some of its places
- Delete slot (or Delete open slot) in a slot's menu takes its people off as part of it: drafts go, and published places wait as cancellations, as above. A message says, for example, Slot deleted. Chloe Dawson and Ella Grant will be told when you publish., with Undo.
- Remove the 2 unfilled places in a slot's menu takes off only the open places.
- Take … off and remove the place, in a person's chip menu, takes that one person off and makes the slot smaller.
Discard changes
Discard changes puts the week back to exactly what was last published. It is beside the publish button whenever a published shift has changes.
- Press Discard changes. To discard only one day, right-click the day's heading and choose Discard changes on this day….
- A question says what will happen, for example Discard this week's changes? "1 edit reverted, 1 cancellation undone (the shift kept). Nothing is sent: staff were never told of these changes. This cannot be undone."
- Press Discard changes, or Cancel.
A message says, for example, Back to what was published: 1 reverted, 1 kept, 0 removed. Changed shifts go back to their published day, times, person, position and name, with the answer they had. Cancellations are undone. Shifts never published are removed. Nothing is sent, because staff were never told of these changes.
Days that have already passed are left as they are, and the message names them.
If something goes wrong
- "Nothing to discard" or "Nothing to discard on that day": nothing published has changed.
- Discard changes on this day… is greyed. It says why: Nothing to discard on this day, Nothing on this day has been published, or the day has passed.
- "That day has passed, so its shifts can't be changed." See Why are days that have passed locked on the roster?.
