How it works

Waitlists and offered places

How a full class's waitlist works: joining and leaving it, a place offered and held until a set time, or given automatically, and what happens near the start.

Who this is for: Anyone with “Book classes for your household” or “Run classes” or “Book and take rolls for anyone” (by default: Administrator, Head Coach, Casual Staff, Member).

When a class with a waitlist is full, members can join the waitlist. When a place comes up, the first person waiting is offered it and has until a set time to take it, or, if your club prefers, is booked straight in. Nobody loses a place without being told.

Joining and leaving

  • A full class with a waitlist shows Full, or Full: 2 waiting, and the button Join the waitlist. A full class without one just says Full.
  • Joining costs nothing and uses nothing. The message says, for example, You are 1st on the waitlist: Cardio tennis, Tuesday 9:30am. Nothing to pay unless a place comes up.
  • The class then shows You are 1st on the waitlist (or 2nd, and so on), with Leave. Leaving asks first and says Nothing is lost by leaving the waitlist.
  • How a place will be paid for is settled when the place is taken, not when someone joins.

Each class has its own limit on how many can wait, set with New class.

When a place comes up

A place comes up when someone cancels or the office takes someone off. What happens next depends on your club's choice.

Offer the place and hold it (the usual choice)

  1. The first person waiting is offered the place and emailed, for example "A place in Cardio tennis, Tuesday 9:30am is yours until 12pm. Take it or pass it on in My classes."
  2. On their My classes, under Needs an answer, it says A place in Cardio tennis is yours until 12pm, with Take it and No thanks. The class on the timetable says the same.
  3. Take it books them, paying the way the button says. No thanks passes the place to the next person.
  4. If they do neither by the time given, the offer ends, they are told, and the place is offered to the next person.

The place is held for two hours unless your club has chosen another time. An offer never runs past the time offers stop (below).

Add the next person automatically

The first person waiting is booked straight away, paying the way they normally would, and is told. They can still cancel under the class's own rules.

Near the start

Offers stop a set time before the start: one hour, unless your club has chosen otherwise. From then, a place that comes up is not held for anyone. Everyone waiting is told once, "It is too close to the start to hold it for anyone: the first to book gets it.", and the class shows A place has come up with its Book button to whoever looks first.

The office

On a session's panel, Waiting, in order lists the waitlist with any offer and the time it ends. Move up moves someone up one place. Let in gives a person the place straight away, when there is one free or it has been offered to them. Coaches see the same people under Waiting on the roll, with Let in.

Term programs

A full term group, course or camp has a waitlist of its own, which costs nothing to join. When a place comes up it is offered to the first person waiting and held for two days, then goes to the next.
