Overview
What Members does
The club's member and contact list, each person's record, households, statuses, tags, saved filters and portal sign-ups.
Who this is for: Anyone with “See members and contacts” or “Add and change members” or “Dynamic tag rules” (by default: Administrator, Head Coach, Casual Staff, Reporting).
Members is the club's list of people: every member, and every contact who is not a member, such as a function hirer or a parent. Each person has one record, with their details, membership, household, tags and notes, and a page that brings together their bookings, invoices and payments. The rest of Sports Club OS works from this list: bookings, invoices, renewals, messages, classes, the till and the reports all point to a person on it.
Who uses it
- The club office finds, adds and changes members, sets statuses, tags people and links households. The Administrator, Head Coach and Casual Staff roles can by default.
- People who read the figures can see the list and every member's page without changing anything. The Reporting role can by default.
- Tag rules, which tag people automatically, are for the Administrator by default.
Your club can change who does what on Roles & permissions.
Its pages
| Page | Where | What it is for |
|---|---|---|
| Members & contacts | The whole list, with search, the Filters panel, saved filters, sorting, tags and actions on several people at once. New member, Import CSV and Export CSV are at the top. | |

| Portal sign-ups | People who made their own login, waiting for the office to approve them. | |
| Applications | Applications to join from the club's website. See What Membership applications does. | |
| Tag rules | , Tag rules tab | Rules that tag members automatically. |
| Tags & fields | , Tags & fields tab | The club's own list of tags, and extra fields to record on every member. |
The words it uses
- Member: a person with a membership type. Contact: a person with none, kept for another reason (a hirer, a parent, a coach). The list shows a contact's status as Contact.
- Status: Active, Suspended, Lapsed or Cancelled, set by the office. Expired is not set by anyone: it is shown for an Active member whose expiry date has passed. See Membership statuses, and what Expired means.
- Household: people linked to one person, the head of the household, who holds the account for them. See Households: who pays for whom.
- Tag: a short label on a person, such as "Pennant" or "Volunteer". A tag marked ⟳ was given by a tag rule.
- Frequency: whether a member pays Yearly or Monthly.
- Auto: the member's renewal invoice is raised automatically. See Auto renew and invoice.
What it connects to
- Bookings: a member books courts online only while their membership is current.
- Invoices and renewals: invoices are raised to a person on the list, and paying a renewal moves their expiry date on.
- Communications: a message goes to the people a filter on this list finds, including a saved filter.
- Applications: electing an application makes the new members' records.
- The till: a member's purchases and household account are on their page, for those who may see till sales.
- Reports: member counts, joiners and leavers come from these records.
What it does not do
- Saved filters are each person's own. They cannot be shared with others in the office.
- Members do not change their own membership, status or tags. They keep their own contact details up to date from their own pages.
- Nothing is emailed when a member's record, status or tags change.
Articles
- Tasks: Find members and filter the list, Add a member or a contact, Tag members, Save a filter and use it again, Change several members at once, Make a tag rule, Approve portal sign-ups, Delete a member, and what is kept.
