A function's bar tab

When a function has a bar tab, drinks for its guests are put on the function rather than paid at the counter. Each sale goes onto the function's bar tab, then onto its quote and invoices, and the hirer pays it with the function.

Before you start

• You need to be able to use the till. The Bar Staff, Bar Manager, Casual Staff and Head Coach roles can by default.
• The function must be confirmed and on today. The till offers only those.

Put a sale on the function

1. Press Function beside the customer box. Which function? lists today's confirmed functions, with their times, any cap, and the tab so far.
2. Choose the function. The sale shows its name, its times and, if it has a cap, for example Bar tab $0.00 of a $800.00 cap, with a bar filling as the tab grows.
3. Add the products. The kind of sale is Function.
4. Press Pay, then The function's tab. It shows the tab so far and the cap.

The whole sale goes to the function: it cannot be split between the tab and another way of paying. The sale can also be kept open as a tab under the function's name through the evening, and put on the function at the end.

The cap

A function can have a cap on its bar tab, set by the functions office. When a sale would take the tab past it, the button warns This passes the function's cap, and a manager approves it with their PIN. See Voids, refunds and manager approval.

What happens next

• The function's bar tab is updated after each sale, by category, and appears on its quote and invoices.
• It is not cash in the till and not income at the till. It becomes income when the function's invoice is paid.
• A function's tab left open is not closed with the session: the till warns that it is still open, and it can be put on the function later.
• Refunding a sale on the function takes it off the function's bar tab.

If something goes wrong

• The Function button is missing. No function is confirmed for today.
• "That function is no longer confirmed for today. Ask the office." Its status changed. Take payment another way, or ask the functions office.
• "This takes Calder & Co end of year's bar tab to $830.00, past its cap of $800.00." A manager approves, or take payment another way.
