Overview

What Point of sale does

One till for the bar and reception that knows the members: member prices, tabs, member accounts, prepaid credit, courts, guest fees, cash-ups and receipts.

Who this is for: Anyone with “Use the till” or “Charge to a member's account” or “Voids, refunds and overrides” or “See sales and till sessions” or “Run the till” (by default: Administrator, Head Coach, Casual Staff, Bar Manager, Bar Staff, Reporting, Treasurer).

Point of sale is one till for the bar and for reception, run in a web browser on a tablet or a computer. It knows the club's members, so it gives member prices, charges a member's household account and tells a member from a guest or a visitor. It sells products from buttons, and it sells the club's own things through the club's own records: court time sold at the till is a real booking, a guest fee taken at the till is the one recorded on the member's booking for that day, and a function's bar tab goes onto the function's invoice. Cash is taken in a till session, which is closed with a blind count and signed off by a manager.

Who uses it

  • Bar staff and the club office sell at the till, open and close tabs, take cash and EFTPOS, and charge to members' accounts. The Bar Staff, Bar Manager, Casual Staff and Head Coach roles can by default.
  • The bar manager gives refunds, voids and discounts over the club's limit, approves overrides, looks after the products, prices and stock, sets up the tills and printers, and signs off the cash-ups. The Bar Manager role can by default.
  • The treasurer and anyone reading the figures see every sale and till session. The Bar Manager, Reporting and Treasurer roles can by default.
  • Members see their own household's purchases, account and prepaid credit on My purchases. See Your purchases and household account.

The Administrator can do all of it. Your club can change who does what on Roles & permissions.

The words it uses

  • Sale: everything sold to one customer at one time. Each has a receipt number, such as 00007.
  • Tab: a sale kept open under a name, added to and paid later. See Open, add to and close a tab.
  • Kind of sale: Member, Guest (a member's guest), Visitor or Function. The till asks once for a sale with alcohol, for the club's records.
  • Member prices: the lower price a product may have for current members. Visitors and guests pay the ordinary price.
  • Happy hour: a time when some products cost less. Its name shows on the line and on the receipt.
  • Account: a household's account at the till. Charges go onto one invoice a month, a draft while the month runs and issued on the 1st of the next. See Charge to a member's account.
  • Prepaid credit: money a household has paid in advance, spent at the till. See Prepaid credit.
  • Session: from the float going into a till's drawer to the drawer being counted. X read is a session's figures so far; Z read is its figures once closed; variance is what was counted less what was expected.
  • Override: something only a manager may allow, such as a large discount or going over an account's limit. See Voids, refunds and manager approval.

What it connects to

  • Members: the till finds members by name, number or card, and works out member prices and who may charge from their membership and household.
  • Invoices: a household's account charges go on one invoice a month, raised like any other invoice.
  • Bookings: court and table time sold at the till is a booking, and guest fees owing on today's bookings are paid at the till.
  • Functions: a sale to a function on today goes onto its bar tab, and so onto the function's invoice.
  • Reports and Finance: each sale is counted by category (bar, food, pro shop, hire, courts) and by kind of sale. Receipts are tax invoices with the GST shown.

How money is counted

  • Cash, EFTPOS and prepaid credit spent are income on the day of the sale.
  • A charge to a member's account is income only when that month's account invoice is paid. A function's bar tab is income when the function's invoice is paid.
  • A top-up of prepaid credit is money held for the household, not income, until it is spent.

What it does not do

  • There is no snooker clock: table time is sold as a fixed length.
  • There is no guest register or responsible service of alcohol (RSA) record, no gift or credit vouchers, no minimum spend and no loyalty points.
  • Receipts can be sent to a Star receipt printer, but this has not yet been tried with a real printer. See Receipts and receipt printers.
  • Sales figures are on the Sales page and the Bar and shop widget, not yet among the figures you can choose in a widget of your own or ask the AI Report Assistant about.
