Overview
What Sports Club OS is
Club management software for member sports clubs: what it covers, who uses it, how it works, and what is not built yet.
Who this is for: Anyone: no sign-in needed.
Sports Club OS runs a member sports club: its members and their households, membership fees and renewals, court and table bookings, the bar and its staff, classes, competitions, function hire, the club's TVs and its public website. It is for clubs with members, courts and a clubhouse, such as tennis, squash and multi-sport clubs.
It runs in a web browser, on a computer, a tablet or a phone. There is no app to download. Members, office staff, bar staff, coaches, volunteers and the committee all use the same system, and each person sees the parts their roles allow.
Who uses it
- Members book courts and classes, see their membership, invoices and receipts, keep their details up to date and choose which emails they get.
- The club office keeps the member list, takes bookings, raises invoices, records payments and runs renewals.
- The bar uses the till, and bar staff see and answer their shifts and report their hours.
- Coaches take the roll for their classes on a phone.
- Conveners run ladders, leagues and tournaments, which are scored live and shown on the club's TVs.
- The treasurer reconciles the bank account, works out GST for the BAS and exports income to the club's accounts.
- The committee reads the club's figures in reports.
- The administrator gives people logins and roles, and sets the club up.

What it covers
| Part | What it does |
|---|---|
| Members | One list of members and contacts, with households, membership statuses, tags and saved filters. Members can be brought in from a spreadsheet or another system. |
| Membership applications | A join form for the club's website. The applicant confirms by email, a proposer endorses it, and recording the committee's election makes the member records and the first invoice. |
| Membership and renewals | Membership types and fees, paid yearly or monthly. Renewal invoices can be raised automatically. |
| Invoices | A price list, invoices with GST, payments recorded in full or in part, and a list of what is still owing. |
| Bookings | Courts and tables for each sport. Members book from a phone; the office sees and changes the whole day. |
| Staff roster and hours | The weekly bar and events roster. Staff are told of their shifts by email and text, confirm them, and report the hours they worked. |
| Communications | Emails to members that look like the club, sent only to people who want them, with templates and drafting by an AI assistant. |
| Classes and coaching | A timetable, booking for a household, waitlists, terms, passes and the coach's roll. |
| Competitions | Ladders, box leagues, round robins, knockouts and events, scored point by point on a phone and shown on the club's TVs. |
| Functions | Venue hire, from the first enquiry through the quote, the deposit and the function sheet. |
| TVs and displays | Slide shows, court boards and the day's classes on the club's TVs. |
| Point of sale | A till for the bar and reception: tabs, members' accounts, prepaid credit, court time and the cash-up. |
| Reports | Committee reports, a Dashboard of figures for each person, report pages, and the AI Report Assistant, which answers questions about the figures. |
| Finance | GST codes, the BAS worksheet, income received in advance, and a monthly export of income for the club's accounts. |
| Bank reconciliation | The club's bank statement matched to the payments and till takings recorded in Sports Club OS. |
| The club's website | The club's public website, changed by editing the page or by asking an assistant, and checked by an approver before it goes live. |
| Admin | Users, roles and permissions, the club's settings, a record of every change, and a download of all the club's data. |
How it works
- One record for each person. A member's bookings, invoices, classes, competition results and email choices are all on their one record, so nobody keeps a second list.
- Each person sees what their roles allow. The club decides what each role may do. Sports Club OS checks this every time someone asks it for something, not only by hiding buttons.
- Help as you go. The Help and feedback button at the top right of every page answers questions about how to use Sports Club OS and takes your feedback, when the club has it switched on.
- The club's data is its own. An administrator can download everything Sports Club OS holds for the club at any time, as spreadsheet and data files.
Where the club's data is kept, who can see it and how sign-in is protected are set out in the Trust Centre.
