Setting up
Set up the till: products, licensed hours, tills, PINs and printers
Before the bar's first sale: the licence and licensed hours, products and prices, discounts and account limits, receipts, tills, printers and staff PINs.
Who this is for: Anyone with “Run the till” (by default: Administrator, Bar Manager).
The till sells at the bar and reception: drinks, food, the pro shop, court and table time, hire and prepaid credit. Before the first sale it needs the club's licence and hours, its products, its tills, and a PIN for each person who will use a till by PIN. Each setting is explained in POS settings, tab by tab, and products in Products, prices, happy hours and stock; this article is the order to do them in.
Before you start
- Setting up the till is for whoever runs it: the Bar Manager and the Administrator by default.
- Have to hand: the club's liquor licence (full or restricted) and its licensed hours, every product with its price and member price, and which tablet or computer each till will be.
- Give the bar staff their logins and roles first: Give people logins and roles.
- Agree the GST code of anything that is not taxable (bottled water, for example) with the club's accountant: Set up GST codes, price entry and your accounts.
1. The licence and licensed hours
Open and press Licence and hours. See Licensed hours, age and ID checks for what the till then refuses.
- Choose Full club licence or Restricted club licence. On a restricted licence the till sells no takeaway alcohol.
- Leave Remind staff to check ID when selling alcohol to a visitor or guest who looks under 25 ticked unless the club decides otherwise.
- Under Licensed hours, tick each day the bar may sell alcohol and set its hours. The till sells no alcohol outside them.
- Under Dates with other hours, add a date with different hours, such as a function's extended licence or a day closed early, with Add a date.
- Press Save settings.
2. Prices, discounts and accounts
Press Prices and accounts. These start at a 10 per cent discount limit, a $200 account limit and a warning at 80 per cent of it:
- Happy hours and specials: each with a name (it goes on the receipt), the times and days, the groups and products it applies to, and a share off or a set price. Add a happy hour adds one. See Products, prices, happy hours and stock.
- Largest discount without a manager: discounts beyond this share of a sale need someone who may override.
- A household's account limit: how much may be owing on a member's account at once, unless their member page sets another. Warn the till when an account reaches a share of it.
- Ask for the buyer's name on a sale of $1,000 or more: a tax invoice of that size must name the buyer.
- Hired equipment is due back after a number of hours, unless the product says otherwise.
Press Save settings.
3. Products
Open . Each group of products is a row of buttons on the till, in the order shown.
- Press New product for each one, or Download template, fill the spreadsheet in, and Import from a spreadsheet to bring many in at once.
- For each product: its group, price, member price, GST, sizes or add-ons, whether it is alcohol, and whether stock is counted.
See Products, prices, happy hours and stock.
4. Receipts
Press Receipts on POS settings. Every receipt is headed "Tax invoice" and shows the club's name, ABN, the date and time, each item, the total and the GST in it. The club's name, ABN and address come from , Club. Type A line under the club's name and A line at the foot if you want them; the page shows a receipt as it prints, with made-up items. See Receipts and receipt printers.
5. Tills and printers
Press Tills and printers.
- Under Receipt printers, register each Star printer that uses CloudPRNT: type its name and press Register printer. You are shown the address to type into the printer's CloudPRNT settings.
- Under Register a till, type the till's name (such as "Bar"), choose its receipt printer, tick Staff sign in with a PIN if staff will switch in on a shared tablet, and press Register till.
With PIN sign-in, the till is given an address to open once on its tablet. Without a printer, the till prints receipts from the browser.
6. Staff PINs
Each person who switches in on a PIN till sets their own 4 to 6 digit PIN, on Password & two-factor in their account menu, under Till PIN. Anyone who can approve overrides (voids, refunds, discounts over the limit) or change the till's products and settings needs a 6-digit PIN. See Till PINs and switching between staff.
Check it worked
Open , open a session with a float, sell something, refund it, and close the session with a count. See Open and close a till session, and count the drawer.
