Club settings, tab by tab

The tabs of Settings, what each is for, who can change it, which Save button keeps it, and the article that explains each tab.

Who this is for: Anyone with “Club settings” or “Function rooms, prices and terms” or “Run classes” or “Dynamic tag rules” or “Wording of text messages” or “Run competitions” (by default: Administrator, Head Coach, Sports Convener, Functions).

Admin > Settings holds the club's set-up, in thirteen tabs. Each person sees only the tabs they may change. This page says what each tab is for and links to the article that explains its settings, what each starts at and what it changes. To set a new club up in order, see Set up Sports Club OS for your club: the steps in order.

Who sees which tabs

TabsWho can change them by default
Club, Booking rules, Sports & courts, Membership types, Price list, Invoice reminders, Tags & fields, Communications, ReportsThe Administrator
The wording of text messages to staff, at the foot of CommunicationsThe Administrator alone
FunctionsThe Administrator and the Functions role
ClassesThe Administrator and the Head Coach
Tag rulesThe Administrator
ScoringThe Administrator and the Sports Convener

Your club can change who holds each of these on Roles & permissions, except the wording of text messages, which stays with the Administrator. Someone who may change only one tab (the Functions role, for example) sees only that tab.

Saving

The tabs do not all save the same way:

  • Club, Booking rules, the Sports part of Sports & courts, Invoice reminders and Tags & fields share the Save settings button at the top right. Unsaved changes shows beside it until you press it, and your browser asks before you leave the page with changes not saved.
  • Courts and tables, membership types and price list items each open in a side panel with its own Save and Delete. A message says Saved or Deleted.
  • Communications has Save communications settings, and the text messages have Save text message wording.
  • Reports has Save report settings.
  • Functions has its own Save changes.
  • Classes saves each change as it is made.
  • Tag rules saves each rule with its own Save.
  • Scoring saves each change as it is made.

Club

The club's name, ABN, contact details and address, which go on invoices, receipts and emails. The same tab holds how invoices are numbered and paid, how far ahead renewals are looked for and raised automatically, the membership year's rules for people who join part-way through, and how names show on the court boards on the club's TVs. See Enter your club's details, Set up invoices, renewals and auto renew and The court board in the foyer.

Booking rules

The rules for bookings members make online: how far ahead, how long, how many a week, the cancellation cut-off, guest fees and peak times. The office can book outside them. See Booking rules, sports and courts.

Sports & courts

One row for each sport with its hours and calendar grid, and the courts and tables that belong to each. See Booking rules, sports and courts and Set up courts, tables and booking rules.

Membership types

Each kind of membership the club offers, with its fees, GST, when it renews, the sports it covers, its booking limits and whether it can be paid monthly. See Membership types and the membership year and Set up membership types and fees.

Price list

The items that go on invoices, with their prices, GST and the income they count as in reports. The list shows each price including GST. See Set up the price list.

Invoice reminders

When each reminder about an unpaid invoice falls, and what it says: up to six. Sports Club OS does not send them yet, and the tab says so. See The reminder schedule (reminders are not sent yet).

Tags & fields

The club's list of member tags, and the extra fields the club records on every member, such as a locker number. Taking a tag off the list does not take it off anyone who has it. See Tag members.

Communications

The kinds of email members choose from, where replies go, and, for the Administrator alone, the words of the texts Sports Club OS sends staff about their shifts. See Change email categories, the reply-to address and staff text wording and Set up email categories and how members choose them.

Reports

What "this year" means in reports and widgets, the smallest group shown to someone who cannot see the member list, the reasons offered when someone leaves, and the AI Report Assistant's limits. See Change the reports settings.

Functions

Function rooms, the items and packages on a quote, deposit and hold rules, and the terms a hirer accepts. See Function settings: rooms, items, packages, rules and terms and Set up function rooms, items, packages and terms.

Classes

How classes treat a waitlist, late cancels, make-up credits, terms and visitors. See Classes settings and Set up classes and coaching.

Tag rules

Rules that tag members automatically while their conditions hold. See Make a tag rule and How tag rules work.

Scoring

How matches in each sport are scored: a section each for squash, tennis, padel, pickleball and badminton, with whether the sport is offered for a new competition, its built-in rules, the older and local rules the club offers as options, and the club's default for a new competition. See Choose the club's scoring rules.
