Questions

An offered class place has gone

A place offered from a waitlist is held only until the time it gives. If it is not taken by then, it goes to the next person waiting.

Who this is for: Anyone with “Book classes for your household” or “Run classes” or “Book and take rolls for anyone” (by default: Administrator, Head Coach, Casual Staff, Member).

The offer ended before it was taken. A place offered from a waitlist is held only until the time in the offer, for example A place in Cardio tennis is yours until 12pm. After that it goes to the next person waiting, so the place is not wasted.

Why it can happen, and what to check

  • The offer's time passed. The member is emailed when the offer ends, "The offer of a place in … ended at 12pm and it has gone to the next person." If nobody else is waiting, the place is free: the class shows a Book button, and the member can book it like anyone else. How long an offer is held is your club's choice: see Waitlists and offered places.
  • It was too close to the start. Offers stop a set time before the start, and from then a free place goes to whoever books first. See Waitlists and offered places.
  • Someone pressed No thanks. That passes the place to the next person straight away.
  • A visitor did not confirm. Someone who asked for a place from the public page must press the link in their email in time. If they do not, the place is released and they are told. See The public What's on page and the foyer screen.
  • A term place was not taken up. A place offered in a full term group is held for two days; a place held for re-enrolment is held until the date given. After that it is released and the parent is told. See Enrol your child for a term.

What to do

A member can look at the class again: if a place is free, book it, or join the waitlist again. The office can book someone in, or let them in from the waitlist, on the session's panel. Every offer and its ending is listed under Messages on the office timetable.
