What is not built yet
Everything a club might expect from Sports Club OS that it does not do yet, part by part, and what to do instead.
Who this is for: Anyone: no sign-in needed.
This page lists what Sports Club OS does not do yet, so nobody plans around something that is not there. Each part's own articles say the same thing where you would look for it, with what to do instead.
Four of these are being built: paying by card online, a connection to Xero, emailing invoices and invoice reminders, and text messages to members. There are no dates for them. Everything else on this page is not built, with no plan to build it yet, unless it says it was left out on purpose.
Payments and invoices
- Paying by card online. Members pay invoices using the bank details on the invoice, or at the club. The office records each payment when it arrives. See Record a payment.
- A card terminal connected to the till. Take a card on the club's own EFTPOS terminal and record it on the till as EFTPOS.
- Direct debit. Members paying monthly pay each month's invoice as they would any other.
- Emailing invoices. Print an invoice or save it as a PDF and send it yourself. Members also see every invoice addressed to them on My invoices & receipts. See Print an invoice or save it as a PDF.
- Sending invoice reminders. The club can set a reminder schedule, and Unpaid invoices shows the stage each invoice has reached, but no reminder goes to anyone. See The reminder schedule.
- Sending renewal invoices. Renewal invoices are raised, by hand or automatically for members on Auto renew and invoice, but not sent. See Auto renew and invoice.
- Searching invoices or bookings from the search box. The search box finds pages and members. Use the Invoices page and the Booking list to find those.
Membership and billing
- Quarterly billing. A membership is paid yearly or monthly.
- Choosing to pay monthly on the join form or at election. Elect the member, then change how they pay on their page. See Change how a member pays.
- Stopping a monthly membership at the end of a month, and moving a monthly payer to Suspended or Lapsed and back to Active as part of their plan.
- Reminders for missed monthly payments, and a list of members who need a decision. The member's page says when the club must decide. See Missed monthly payments.
- A page for the monthly payment settings (how far ahead each month is raised, the days of grace, when a member is flagged).
- A member switching Auto renew and invoice on for themselves. The office switches it on.
- A page to change the join form's categories, wording and rules. They are set when Sports Club OS is set up for the club.
Members and logins
- Merging two records. Copy what you need onto the record you keep, then delete the other. See Delete a member, and what is kept.
- Sharing a saved Members filter with the office. Each saved filter is its owner's own.
- Deleting a login. Disable it instead. See Add, change and disable logins.
- An administrator turning off another person's two-factor sign-in. See I can't sign in.
- Making new roles, or renaming one. Use the roles there are and change what each allows. See Change what a role may do.
- Changing the club's logo from Settings. It is set when Sports Club OS is set up for the club.
- Sign-in with Google or Microsoft accounts. Left out on purpose: everyone signs in with a login the club gives them.
Communications
- Text messages to members. Texts go only to staff, about their shifts. See How staff are told.
- Scheduling a message for later. Messages are sent when you press Send, after a 30-second hold.
- Attaching files to an email. Put the file on the club's website and link to it.
- A club's own saved templates. Copy an earlier message instead. See Start from a template or an earlier message.
- Emails about court closures. Closures show on the booking calendar and the court board in the foyer.
Bookings
- Calendar feeds for members' own calendars.
- Paying guest fees online. Guest fees are paid at the club. See Guests and guest fees.
Staff roster and hours
- Pay rates, awards and payroll. Left out on purpose: Sports Club OS records hours worked, and the hours file goes to your payroll. See Close an hours period and download the hours.
- Tracking staff certificates. Left out on purpose.
Classes and coaching
- Card payment. Fees go on the member's account, are paid at the club, or are paid to the business that runs the class.
- Texts about classes. Offers and reminders are emailed and shown on My classes.
- Members buying a pass for themselves. The office sells passes.
- Private lessons on the timetable.
- Coaches asking each other for cover. A coach sets cover with Someone else is taking this, or asks the office.
- Uploading a class photograph. Choose one of the photographs offered.
- Emails to the office about classes. They are alerts on the office timetable.
- Working out what the club owes each coaching business, and coach pay.
- A classes widget on the Dashboard. Class reports are under Reports.
Competitions
- Messages to players. Nobody is emailed or texted about a challenge, a draw, a result or a match time. Players see them on My matches.
- Challenges that lapse and players who drop by themselves. A ladder's rules show the days to answer and the days without playing, but nothing acts on them. The convener can record a walkover.
- The order of play booking the courts. Book them on the booking calendar as well.
- A connection to SquashLevels, UTR or another rating service. A results file can be downloaded instead. See Club ratings.
- Members setting their own match times. Left out on purpose: the convener sets times and courts.
- A confirmation step for results. Left out on purpose: a result counts as soon as it is entered, and is corrected afterwards.
- Entry fees and handicaps.
- Table tennis, team ties (pennant rubbers), Americano and Mexicano, and timed matches. Competitions run in squash, tennis, padel, pickleball, badminton and snooker. See Ladders, boxes, round robins and knockouts.
- Turning scoring codes off. Every match ready to play can have one; it works only while the match is ready or being scored. See Score or watch a match with its code.
- Saving a quick match to a club's history. A quick match at sportsclubos.net/score stays on the phone that scored it. See Score a quick match on your phone.
Functions
- Card payment, and holding a card for the bond. Invoices are paid by bank transfer or another way the office records.
- An invoice for part of a bond the club keeps for damage.
- Emails from hirers arriving in Sports Club OS. Hirers write on their own function page.
- Hirers choosing their menu online.
- Public holiday surcharges.
- Functions that run past midnight.
- Uploading a room's photograph, and a switch on the Functions settings tab to take a room off the public venue page.
TVs and displays
- Showing a slide only between two dates.
- Video.
- Choosing again from pictures already uploaded. Keep the pictures you use on your computer.
- A function welcome on a TV before the function's day. The editor shows it ahead of time; the TV shows it on the day.
Point of sale
- A snooker clock. Table time is sold as a fixed product.
- A guest register and records of responsible service of alcohol (RSA) certificates. Keep these as your club does now.
- Credit vouchers, gift cards, minimum spend and loyalty points.
- Printing to a receipt printer has been built but not yet tried with a real printer. Until it has, print receipts from the browser or email them. See Receipts and receipt printers.
- Till sales in report widgets and the AI Report Assistant. The Sales page and the Dashboard's Bar and shop widget give the figures.
Reports and finance
- Emailing a report, or sending one on a schedule. Download it, or print it to a PDF, and send that.
- Finance's figures in report widgets and the AI Report Assistant. They are on the Finance pages.
- A file to import into Xero or MYOB AccountRight, and a connection to any accounting package. The export is a monthly summary to key in, and a spreadsheet for the accountant. See Export a month's income to your accounts.
Bank reconciliation
- Matching the till's EFTPOS takings by settlement day.
- Adjustments for bank fees and cash differences.
- Recording a payment and matching it in one step. Record it on the Invoices page first, then match it.
- Importing OFX files. Import the statement as a CSV file.
- A bank summary page, deposit slips, rules that explain lines by themselves, and an export for Xero.
The club's website
- "Compare with live" on any version but the draft. Open both and look at them side by side. See Versions, and making an earlier one live again.
- An email when an earlier version is made live again.
Taking your data out
- A scheduled or emailed download of the club's data. The Administrator downloads it whenever they like. See Taking all of your club's data out.
- A download of the pictures and documents, and loading a download back into Sports Club OS.
Help
- A What's new page listing what changed in each release.
Elsewhere
- Webhooks and other ways for another system to be told of changes.
- Doors, lights and swipe cards.
