How it works

Households: who pays for whom

How people are linked into a household under one head, and what the head holds for the others, from monthly invoices to the till account.

Who this is for: Anyone with “See members and contacts” or “Add and change members” (by default: Administrator, Head Coach, Casual Staff, Reporting).

A household is a group of people linked to one person, the head of the household. The head is usually the parent or partner who pays. Everyone else in it is linked to the head with a word that says how: Child of, Partner of, Sibling of, Dependant of or Family member of. Each person keeps their own record, membership, status and expiry.

  1. Open the person's page and press Edit details, then the Family tab.
  2. Under Linked to, type in Search for the primary / paying member… and choose the head of the household.
  3. Choose how they are linked, for example Child of.
  4. Press Save changes.

To unlink them, open the same tab and press Remove beside the head's name, then Save changes.

A person is linked to one head only. Link each person straight to the head, never to someone who is themselves linked to the head: a household is the head and the people linked straight to them. Link each child to the parent who pays, not to a brother or sister.

Where a household shows

  • On the member page, the Family tab lists the household: the head as Account holder, and each other person with how they are linked, their membership, expiry and status. The number on the tab is how many others there are.
  • In Edit details, the Family tab of the head lists everyone linked to them.

What the head of the household holds

  • Monthly payments. When people in a household pay monthly, there is one invoice a month for the whole household, addressed to the head, with a line for each person. Someone else in the household sees Invoices go to the head under How they pay. Yearly renewals are still raised to each person. See Paying yearly or monthly: how it works.
  • Choosing yearly or monthly on their own pages is for the head alone, for each person in the household. The office can change it for anyone.
  • The till. The household shares one account at the till and one prepaid credit balance, held by the head. The head chooses whether juniors may charge to the account or spend the credit, on their own My purchases page. See Your purchases and household account and Charge to a member's account.
  • Credit from a change in how someone pays is kept for the household and taken off its next monthly invoices.

What a household does not share

  • Email preferences belong to an email address, not a household. People who share one email address share one set of choices, whether or not they are linked. A message to the list goes to each address once.
  • Status and expiry are each person's own. Renewing the head does not renew anyone else.
  • Logins are each person's own. A child with no email address of their own has no login.

Families who apply to join

A family application from the club's website makes one record for each person when it is elected, all linked to the first person on it, who holds the email address and phone number and is invoiced. See How an application moves from the form to election.

In the reports and tag rules

Reports count households by their head. A tag rule can tag everyone in a household that has a junior member. See How tag rules work.
