Questions

Why does it say Sender not verified?

Sports Club OS could not prove an email came from the person it says. Check with them another way before acting on money or personal details.

Who this is for: Anyone with “Use the member inbox” or “Send text messages” (by default: Administrator, Casual Staff, Treasurer).

It means Sports Club OS could not prove that the email came from the address it shows. It does not mean the email is fake, and it does not mean it is genuine. Anyone can put any name and address on an email, and without proof the club cannot tell.

When you see it, the conversation shows a warning above the message: Sender not verified. This may not be from who it says. Do not act on a request about money or personal details without checking with them first, by a way you already know is theirs.

What to do

  • Do not change bank details, refund money, give out personal information or open a file because an email asks. Ring the member on the number on their record, or ask them in person.
  • Replying is safe in one respect: a reply goes to the address on the member's record, not to the address in the email, and says so under the reply box. A fake sender's address is not the one used.
  • If you are sure it is not genuine, choose Spam under Actions.
  • If it is the member and you have checked, answer as usual and mark it done.

Why it can happen

The conversation is linked to a member by the address it shows. These are the reasons the sender is not proved.

  • Someone is pretending to be the member. This is what the warning is for.
  • The member's own email provider does not prove its mail. Some small providers and old club domains do not, so a genuine email cannot be proved.
  • It was forwarded by hand. If someone at the club forwarded an email on by hand, the message says Forwarded by hand. The sender is read from the words of the forward, so it cannot be proved.
  • The club's mail host rewrote the sender. The message says The club's mail host rewrote the sender. Who wrote this is read from its other lines, so it cannot be proved.

A later message in the same conversation can say This message's sender could not be proved. even when the first was fine.

What the mark does and does not do

The conversation is still linked to the member, so you can see their other mail beside it. The warning is a prompt to check, not a block. Press Who it's about… under Actions and the cross beside a name if you want to unlink it.
